School Districts, Names, and Contacts

The Schools feature used to track the school district residency of Clients. There are three elements: Districts, Names, and Contacts.

School Districts

Used to categorize Home Schools in Client Residency.

  • School District: Name of the district. The name field can not be duplicated in more than one record. Required field.

  • State Code: The field is an optional field used to create consistency for reporting purposes.  In many cases, this field is used to identify specific outcomes no matter how the Achievement Name text has been spelled or written.  For example, some NRS reports require specific codes identifying the school district.  This flexibility allows the user to name school districts as desired but still match them for other reporting purposes.

  • EPE and EA rate fields are hourly reimbursement rates for organizations able to obtain funding for client contact hours in eligible courses.  In this case, the rate is based on the school district of residence at the time the contact hours were generated.  Certain eligibility may be required.  (EPE is an acronym for Employment Preparation Education and EA is an acronym for Equivalent Attendance)

School Names

Used to track the school district residency of Clients. Most often this is a building name within a School District.

  • School Name: School or school building name. The field cannot be duplicated in more than one record. Required field.

  • School District: From the user-defined list of School Districts. Required field.

Special Functions

AutoOption Field: 

If the AutoOption field is checked, a new record for the respective School Name will automatically be appended to the Client Residency records when a new Client record is created.  Note that the AutoAdd function only processes a new Client Residency record on a new Client, not during a Client edit.

School Contacts

List of names and contact information for personnel at Schools.

  • School Name: From the user-defined list of School Names. Required field.
