Fee Groups

Fee Groups are used to determine the group a Client is a member of for purposes of determining the fees they will be charged. When adding fees to course sections, fees are set per Fee Group. This allows for fees to vary, if needed, per Fee Group. 

  • There is no limit on the number of Fee Groups that can be added. 
  • All fees should be entered to cover every Fee Group created unless the fees are specific to one Fee Group only. 
  • If a fee is added that does not link to a Fee Group, clients in that Fee Group will not obtain an accurate amount due when registering.
  • XenDirect Plus and Enterprise versions contain additional Admin module and WebReg module features allowing for fee group selection and memberships.
  • Both the Admin module and the WebReg module may automatically add an active Fee Group to a Client if all existing Fee Groups do not cover the future.  This prevents issues where Fee Groups all have expiration dates and would prevent a Client from registering for a course section that starts after the expired Fee Groups.
  • Examples of how fees can be set per Fee Group:
    • Example 1:  A single course tuition difference between three Fee Groups. Three fee records are added to the Section.
      • Regular = $75
      • Senior = $55
      • Alumni = $65
    • Example 2:  A single course tuition the same with three Fee Groups. One fee record is added to the Section.
      • Regular, Senior, Alumni = $75

Fee Group Fields

Users can create a list of unique Fee Groups.

  • Fee Group Name:  Each name must be unique.  Required field.

  • Description:  A description of the Fee Group.
  • Start / End Dates: The date fields determine the active dates for determining what fees to charge when a registration is added.  Leave these fields bank when only one Fee Group is assigned to a Client.  When more than one Fee Group is assigned to a Client, the dates should not overlap and should cover the wide range of possible registrations the client may enroll in, both past and future.  Example:  Fee Group 1 starts 1/1/2018 and ends 12/31/2020, while Fee Group 2 starts 1/1/2021 and has no end date.

Users can create a list of unique Fee Groups.  Fee Groups can also be set up as paid memberships and set eligibility requirements, if relevant.  There are no restrictions on creating a combination of free and paid memberships.  However, it is highly suggested to maintain a simple set of memberships rather than create various competing or multi-level memberships that are difficult to comprehend.

  • Fee Group Name:  Each name must be unique.  Required field.

  • Description:  A description of the Fee Group.  This description will also display to clients in the WebReg module when Fee Groups choices, eligibility, and/or paid memberships are enabled.
  • Type:  The type of fee group/membership.  This is an optional field.  Only select a value when setting up a Fee Group as a set of client choices, eligibility, or paid memberships.
    • Age: The eligibility for the fee group is based on an age range.
    • Open:  Used when there is no eligibility for the Fee Group but the Fee Group will be used as a set of client choices, and either a paid or unpaid membership.
    • Postal:  The eligibility for the fee group is based on a Postal Code residency derived from the Client's address.
    • Residency:  The eligibility for the fee group is based on the Residency field from the Client Info record.
    • State:  The eligibility for the fee group is based on a State residency derived from the Client's address.
  • Start / End Dates: The date fields determine the active dates for determining what fees to charge when a registration is added.  Leave these fields bank when only one Fee Group is assigned to a Client.  When more than one Fee Group is assigned to a Client, the dates should not overlap and should cover the wide range of possible registrations the client may enroll in, both past and future.  Example:  Fee Group 1 starts 1/1/2018 and ends 12/31/2020, while Fee Group 2 starts 1/1/2021 and has no end date.
  • Eligibility:  Used when setting eligibility requirements. See Memberships.
  • Web Display:  When Fee Groups/Memberships are made available for Clients to select and/or purchase via the WebReg module, this field determines which Fee Groups are available.  If set to No, the Fee Group will not be available for selection.  However, the Fee Group will still display as the current membership in the client's MyAccount section.
