Fee Groups

Fee Groups determine the fees charged to clients based on their membership group. When adding fees to course sections, fees are assigned per Fee Group, allowing for fee variations when needed.

Key Considerations

  • There is no limit to the number of Fee Groups that can be created.
  • Fees should be set for every Fee Group, unless the fee is specific to one group only.
  • If a fee is not linked to a Fee Group, clients in that group may receive an incorrect amount due at registration.
  • When a Client logs into WebReg, they will only see courses with fees matching their Fee Group.
  • If a Client is not logged in, they will see courses with fees that match the default Fee Group set in the Branch Profile settings.

Additional Features in XenDirect Plus & Enterprise

  • The Admin module and WebReg module allow for fee group selection and Memberships.
  • If all existing Fee Groups expire, an active Fee Group may be automatically assigned to prevent registration issues for future course sections.

Examples of Fee Group Pricing

Example 1: Different Tuition Fees for Multiple Groups

A single course with different tuition fees for three Fee Groups:

  • Regular = $75
  • Senior = $55
  • Alumni = $65

Example 2: Same Tuition Fee Across Multiple Groups

A single course where the tuition is the same for all Fee Groups:

  • Regular, Senior, Alumni = $75

Fee Group Fields

Basic Plan

Users can create a list of unique Fee Groups with the following fields:

  • Fee Group Name: A unique name for the Fee Group (Required).
  • Description: Additional details about the Fee Group.
  • Start / End Dates: Defines the active period for the Fee Group.
    • Leave blank if the client has only one assigned Fee Group.
    • When assigning multiple Fee Groups, ensure the dates do not overlap and cover all possible registration periods (past and future).
    • Example:
      • Fee Group 1Start: 1/1/2018, End: 12/31/2020
      • Fee Group 2Start: 1/1/2021, No End Date

Enterprise & Plus Plans

In addition to basic Fee Group functionality, Enterprise and Plus users can:

  • Set up paid memberships and define eligibility requirements.
  • Create a mix of free and paid memberships, but it is recommended to keep memberships simple to avoid confusion.

Additional Fields for Enterprise & Plus Plans

  • Type: Defines the eligibility and membership type for a Fee Group. (Optional)
    • Age: Based on age range eligibility.
    • Open: No eligibility restrictions; used for paid or unpaid memberships.
    • Postal: Eligibility is based on postal code residency from the client’s address.
    • Residency: Based on the Residency field in the Client Info record.
    • State: Based on state residency from the client’s address.
  • Start / End Dates: Determines the active period for the Fee Group. (See example in Basic Plan section.)
  • Eligibility: Defines eligibility requirements for memberships. (See Memberships section.)
  • Web Display: Controls whether Fee Groups/Memberships are available for selection in WebReg:
    • Yes: Clients can view and select this Fee Group in WebReg.
    • No: The Fee Group will not be selectable, but it will still display as the current membership in the MyAccount section.
