Balance Due / On Account

Prints list of clients and courses with balances due or amount on account.

  • Balance Due Template
    • Amount Due includes all fees per course tagged as "Regular" fee group and Include In Balance = Yes.
    • Payment Amount includes all payments where the Payment Type is tagged as "Debit", the payment is not a refund, and matching those in Fees tagged as Include In Balance = Yes.
    • Refund/Credit Amount includes all payments where the Payment Type is tagged as "Credit" or the payment is a refund, and matching those in Fees tagged as Include In Balance = Yes.
    • Payment Types tagged as "Ignore" are listed but no amount value will appear or be calculated in the Balance Due.
    • Refunds entered as negative amounts will calculate incorrectly. Refunds should be entered as positive amounts.
    • Account search uses Income Account from Course Section.
    • Session Include and Session Exclude filter options use the Session field of the Course Section, not the Session field in an Invoice Line Item.
    • If a Merge Text is selected from the Report Options, the format of the report changes to a statement formatted report per client with the Header and Body 1 displaying above the client's name and the Body 2 and Closing displaying after the payment transactions grid.
    • Balance Due Calculation option:
      • Matched 1 will force the balance due calculation by matching course fees to revenue by matching Revenue Items but all unmatched will display when transaction details are displayed.
      • Matched 2 will force the balance due calculation by matching course fees to revenue by matching Revenue Items but all unmatched will display as a separate group after the matched group when transaction details are displayed.
      • Unmatched will force the calculation to be based on total fees and total revenue regardless of Revenue Items identified in both.
      • Note that Revenue Item transactions for "Textbook" are excluded in the balance due calculation.
      • This option only displays for Course payment method.
    • Zero Balance /Over Paid:
      • Zero Balance Exclude:  Only displays where balance due is not zero.
      • Zero Balance Include:  All balance dues will display even if zero or negative.
      • Over Paid Exclude:  Only displays where balance due is greater than zero.
      • Over Paid Only:  Only displays where balance due is less than zero.
    • Only If Payments:  Only display invoices if payment records exist.  This option only displays for Invoice B and Invoice C payment methods.
  • On Account Template
    • Display Details, Zero Balance Due, and Merge Template report options are not used for the On Account template.
  • On Account Aging Template
    • The report will display all Clients with a positive or negative balance On Account.  Most Search and all Report Options are ignored for this template.  Client related search fields are used for this template.
