This article explains how to upload, classify, describe, and store MS Word or PDF files for a specific company. It also highlights key settings and storage considerations for managing documents effectively.

Overview

The Documents section allows users to:

  • Upload and manage files (MS Word or PDF) associated with a company.
  • Classify documents with titles, descriptions, and types.
  • Control web display settings and monitor storage space usage.

Important Note:
Uploading documents may require additional storage space. Users will be prompted if storage limits are exceeded.


Document Fields

  • Title:
    • The name of the document as determined by the user.
  • Description:
    • Details or context about the document as determined by the user.
  • Date:
    • The date of upload or a date related to the document.
  • Type:
    • The type of document being uploaded.
    • Note: This list is not user-defined.
  • Allow Web Display:
    • When checked, the document's name and description are displayed in the District Enrollment Web Application module.
    • Documents uploaded via the District Enrollment Web Application module are automatically tagged as Yes.
  • File:
    • Use the Browse button to search for and upload the file.
    • XenDirect automatically determines the file name for storage.
    • During an edit: Uploading a new file replaces the previously stored document.

Key Notes

  • If storage space is unavailable due to purchased limits, users will receive a prompt about the lack of storage.
  • Storage space includes all uploaded files and images.
  • For documents requiring web visibility, ensure the Allow Web Display checkbox is selected.
