Overview

The Admissions Application is a custom add-on feature for the WebReg module.  The feature provides an online, custom-designed application form and process for an admissions application into a program. This support page details the application process.

  • Applies to the Enterprise version only.
  • Requires an additional fee for custom design and setup.
  • Uses the existing Client Profile, Application, and Classification tables to record the application data.

How the Application Process Works

The online application process allows clients to submit an admissions application for program enrollment. The contents record in XenDirect in various tables.

  • The organization completes the setup process for the admissions application.
  • If desired, the admissions application can be placed in test mode so the organization can test the process before going live.
  • When ready, the organization enables the admission application process and informs candidates about the online process.
  • Candidates create an account on the WebReg module. Clients with an existing account do not have to create a new account.
  • Once logged in, candidates navigate to MyAccount and select the menu option for Admission Applications. From there, they can:
    • View a summary list of existing and prior applications.
    • Start a new application.
    • Edit an application that has not yet been certified and submitted.
  • There are several parts to this online admissions application.
    • Application
    • Applicant's Profile
    • Emergency Contacts
    • Document Uploads
    • Certification/Submission
    • Application Fee Payment
  • When submitted, data from the parts of the application are recorded into:
    • Client Application
    • Client Classifications
    • Client Profile
    • Client Family (Emergency Contacts)
    • Client Documents
    • Client Invoices/Payments
  • Once submitted, the applicant can no longer modify or add to any of the application pages.
  • The organization can now review applications manually based on their application review process and modify the application record according to the outcome.
  • Using other XenDirect features, the organization now responds to the applicant.
