Field Locations

This page details the fields used in the admissions application online form, where they are recorded when saved, and in the case of select lists, the source for the list. The field details are listed per each of the five steps on the application.

Step 1 of 5 - Profile

  • Instruction Boxes used on this step.
    • WebReg: Admissions Application 1: Displays at the top of the page.
    • WebReg: Admissions Application 1a: Displays above the "Update Responsibility" question.
  • Biographical Information
    • Each of these fields records to the Client Profile record except Religious Affiliation.
    • Religious Affiliation records to Client Classifications. The select list pulls from Classifications where the Classification Category = "Religions".
    • The Gender field select list pulls from Selects > Gender.
    • The Country of Citizenship select list pulls from Selects > Countries.
    • The Ethnicity field select list pulls from Selects > Ethnicity.
  • Mailing and Permanent Address
    • Each of these fields records to the Client Profile record.
  • Contact Information
    • Each of these fields records to the Client Profile record except the Telephone Valid Dates field.
    • Telephone Valid Dates records to a Client Classification where Classification = "Phone Validity" and is linked to the application by the Application Number.
  • Update Responsibility
    • This field records to a Client Classification where Classification = "Accept Update Responsibility" and is linked to the application by the Application Number.

Step 2 of 5 - Admissions and Financing Information

    • WebReg: Admissions Application 2b: Displays under the "Employment / Financing" header.
    • WebReg: Admissions Application 2c: Displays above the "Finance Plan" question.
  • Admissions Information
    • Each of these fields records to the Client Application record.
    • Program List
      • The application process requires that a list of Program Groups is available for the applicants to select from as their enrollment choices.
      • Go to Main Menu > Selects > Program Groups.
      • Assuming the list of Program Groups is already entered, edit the Program Groups desired to display in the program options as:
      • [Inactive] = No
      • [Display on Web List] = Yes
      • [Diploma Type] = should not be blank
      • Save changes.
  • Application Type
    • Each of these fields records to the Client Application record.
    • Application Type is a hard-coded select list and not user-defined.
  • Employment  Financing
    • Each of these fields records to the Client Application record except the "Financial Surety" question.
    • Financial Surety records to a Client Classification where Classification = "Financial Surety" and is linked to the application by the Application Number.

Step 3 of 5 - Educational, Medical, and Personal Statement

  • Educational Background 
    • Each of these fields records to the Client Application record.
  • Medical History
    • Special Needs field records to the Client Application record.
    • Allergies field records to the Client Profile.
  • Personal Statement
    • This field records to a Client Classification where Classification = "Personal Statement" and is linked to the application by the Application Number.

Step 4 of 5 - Emergency Contacts

  • Instruction Boxes used on this step.
    • WebReg: Admissions Application 4: Displays at the top of the page of the emergency contacts list.
    • WebReg: Admissions Application 4a: Displays at the top of the page of the emergency contacts add/edit form.
  • Emergency Contacts
    • Applicants can add as many emergency contacts as desired. This page will display all the existing contacts with an edit option and allow for new contacts to be added.
    • Emergency Contact fields record under the Client Family records.

Step 5 of 5 - Conduct, Certification, and Submit

    • WebReg: Admissions Application Certification Statement: Displays above the certification response question.
  • Past Conduct
    • Previous Disciplinary: This field records to the Client Application record.
    • Academic Misconduct: This field records to a Client Classification where Classification = "Academic Misconduct" and is linked to the application by the Application Number.
  • Certification Statement
    • This field records to the Client Application in the "Certification Date" field and is only recorded when the client submits the application.
  • Submit
    • While the applicant is preparing the application, the application status is listed as "Client Edit". The applicant can make changes to the application until they certify and submit the application. Once certified and submitted, the application changes to "In Process" and the applicant can no longer add to or modify the application except for uploading any required documents.
