Blocks

This article explains the functionality of the Blocks feature, which restricts specific client functions until the block is released. Users will learn how blocks work, key field details, and email functionality for notifying clients of block status.


Overview

The Blocks feature allows users to block certain client functions. These functions remain inaccessible until all active blocks are released.

Important Notes

  • Active Block Indicator:
    • If a client has one or more unreleased blocks (Released = No), certain functions are disabled.
    • The client header row displays "ACTIVE BLOCK" when blocks are present.
  • Unblock Form:
    • A Release Block button appears on the row of the block record.
  • WebReg Module Restrictions:
    • Clients can log into the WebReg module (MyAccount section) and view courses but cannot purchase them.
    • A prompt informs the client that their account is locked and directs them to contact the office for assistance.
    • Most MyAccount options remain disabled until the block is released.
  • Multi-Branch Environments:
    • Active block counts for clients are visible across branches.
    • Users cannot view or edit blocks from a branch other than the one where the block was set.
  • Restricted Functions:
    • Users cannot add records in the following areas while a block is active:
      • Client Application
      • Client Assignment
      • Client Placement

Field Details

Fields Available When Adding a Block:

  1. Block Type:
    • A required, user-defined field identifying the type of block.
  2. Date Set:
    • The date the block was activated. (Required)
  3. Blocked By:
    • The staff member who set the block. (Required)
  4. Block Reason:
    • A notes field explaining the reason for the block.

Fields Available When Releasing a Block:

  1. Released:
    • Yes/No field indicating block status.
      • No: Active Block
      • Yes: Block released
  2. Release Date:
    • The date the block was released. (Required if Released = Yes)
  3. Released By:
    • The staff member who released the block. (Required if Released = Yes)
  4. Unblock Reason:
    • A notes field explaining the reason for the block release.

Locked User Feature (if enabled):

  • Blocked By and Released By fields display the logged-in user and cannot be edited after saving.
  • Date Set and Release Date fields are locked once saved.

Email Client Block Functionality

This feature allows users to send an email notifying clients of their block status.

Email Templates:

Two email templates are required:

  1. Email Block Set:
    • Used when the block status is Released = No.
  2. Email Block Release:
    • Used when the block status is Released = Yes.

Email Details:

  • The system selects the appropriate email template based on the block status.
  • A Send From email address is optional if the email template's default address is correct.
