Program Enrollment

Used to record and track enrollment into a program of study using Program Groups.  Often used by organizations that offer degree or certificate programs and require tracking the enrollment and graduation process into a program separate from the registration into specific courses.

Details

  • The Maximum Active Applications field in the Branch Profile controls the number of Active Programs a client can have at any time.  Once the maximum is met, the New button is disabled.  Active Programs are those with a Status = In Process.


Program Fields

  • Program Group: Name of the program of enrollment pulled from the user-defined Program Groups select list. Required field.

  • Start Date: Date Client starts Program.  Required field.

  • End Date: Date Client ends Program.

  • Program Status: Enrollment status in the Program.  Required field.  Not a user-defined list.

  • Degree Type: User-defined value list of degree types.

  • Department: User-defined value list of departments.

  • Facility: Facility or campus client desires to attend pulled from the user-defined Facility select list.

  • School Referral: School that referred the client to Program pulled from the user-defined School Name select list.

  • Program Year: Year of enrollment.  Not a user-defined list.

  • Advisor:  Staff member acting as client's advisor pulled from the user-defined Staff list.

Graduation Fields

  • Applied for Graduation:  Yes/No field.
  • Grad Application Date:  Date application submitted.
  • Cleared for Graduation:  Yes/No field approving release for graduation.

  • Graduation Date:  Date of graduation.

  • Diploma Name:  These fields are used to obtain the correct spelling for the printed diploma.
  • Courses to be Completed: Optional notes field.
  • Comments: Optional notes field.

Functions

 

The following additional functions appear in each row of the Results List.

  • Add Classifications: Click the 'A' button to add/edit user-defined Classifications into the Program enrollment.  Uses the Classifications list where the Classification is tagged as Display Program = Only or Both.  Use of the Classifications feature here allows an organization to append additional fields into the Program as needed.
