Client Profiles

The Client Profile form of the WebReg module gathers the contact information and other pertinent details of the Client. Numerous elements of the form are user-defined.

Client Profile Settings

Access these settings at Admin/Security > Settings > Web Options > Client Profile.

  • Allow New Account:  If checked Yes, the New Account button is enabled and customers can create a new account in the Web Registration module.  Only the login option for an existing account will display if set to No.
  • Allow Profile Edit:  If checked Yes, the client can modify the fields in their existing profile.  If not checked, the client can only modify their username and password.
  • Allow Password Edit:  If checked Yes, the client can modify the username and password fields in their profile.  If not checked, the client cannot modify their username and password.
  • Enable New Account Verify: If checked Yes, an email verification process is enabled. At the time a client clicks on the [New Account] option, an email address is requested. The client is sent an email with a verification code good for one hour. The client uses that verification code to start the new account process. This feature helps prevent fictitious new accounts.
  • Enable Delete Unverified and Enable Expire Verify: These two features are not active at this time.
  • Allow Member Accounts:  If checked, the Client can add Member Accounts to their account.  If No, this feature is disabled.
    • Member accounts that also have an active Client Block cannot be registered into a course by the primary account holder.
  • Require Member Username/Password: If checked, the username and password fields on a member account will be required.
  • Enable Duplicate Check:  If not checked, the client duplicate check function that occurs when a new client account is created is disabled, and the possibility of duplicate records increases.  Enabling this feature does not prevent duplicates but only reduces the possibility of duplicates. If enabled, the function uses these duplicate checks:
    • Full SS# matches another client record
    • Last name, first name, last four digits of SS#, and birth date match another client record
    • Last name, first name, and Street field one match another client record
    • Last name, first name, and home phone match another client record (unless the home phone is blank)
    • Last name, first name, and mobile phone match another client record (unless the mobile phone is blank)
    • Last name, first name, and email address match another client record
  • Enable EU Check: This setting enables a question to display at the top of a new client account profile in the WebReg module, asking the client if they are within the EU. If they reply yes, the Marketing Preferences profile question defaults to an Opt-In regardless of the organization's setting for this field. The value of the EU question is not recorded. It is used only to determine the Marketing Preferences default.
  • Show Client Middle Initial: If enabled, will display in the Client Profile.
  • Show Guardian Name: If enabled, will display in the Client Profile.
  • Show Client Social Security: If enabled, will display in the Client Profile.
  • SSN Format Web: The SSN Format Web sets the field to allow for a nine only, four only, five only, or a combination 4/5/9 format where the client can enter any one of the three options.
  • Show Client ID: If enabled, will display in the Client Profile.
  • Show Client Home Address: If enabled, will display in the Client Profile.
  • Show Client Work Address: If enabled, will display in the Client Profile.
  • Show Client Billing Address: If enabled, will display in the Client Profile.
  • Show Client Email 2: If enabled, will display in the Client Profile.
  • Show Email Confirmation: If enabled, the client will be required to confirm their email address in a second email confirmation field.
  • Show Client Home Phone: If enabled, will display in the Client Profile.
  • Show Client Work Phone: If enabled, will display in the Client Profile.
  • Show Client Mobile Phone: If enabled, will display in the Client Profile.
  • Show Client Fax Phone: If enabled, will display in the Client Profile.
  • Show Client Gender: If enabled, will display in the Client Profile.
  • Show Client Company: The Client Company field will automatically add the Company record if it does not exist.
  • Show Client Job Title: Job Title, if enabled for display in the Client Profile, it pulls the list from the Job Titles select list but records it as a text value.
  • Show Client Profession: If enabled for display in the Client Profile, it pulls the list from the Work Areas/Professions table.
  • Show Client Work Area: If enabled for display in the Client Profile, it pulls the list from the Work Areas/Professions table.
  • Show Client Residency: Client Residency, if enabled, will display a Yes/No field in the Client Profile.
  • Client Residency Label: The label for the field can be user-defined for the Client Residency field.
  • Show Client Date of Birth: If enabled, will display in the Client Profile.
  • Show Client Grade: If enabled, will display in the Client Profile. Defined as School Grade.
  • Show Client Ethnicity: If enabled, will display in the Client Profile.
  • Show Client Diploma Status: If enabled, will display in the Client Profile.
  • Show Client Job Status: If enabled, will display in the Client Profile.
  • Show Client How Heard: This option collects how a client heard of the program based on the available entries in [Marketing Sources].  This value records with the client profile.  This value is different than the [How Heard] recorded at the Assignment record level.  The Show Client How Heard option will not display on the Client’s Profile in the WebReg module for sites set up as a multi-Branch WebReg module.  This field also does not display when the client edits their profile, preventing the value from being modified.
  • Show Client Medical Alerts: If enabled, will display in the Client Profile.
  • Show Client Allergies: If enabled, will display in the Client Profile.
  • Show Client License: If enabled, will display in the Client Profile. Defined as driver's license, but could record any license number.
  • Show Client Bank Info: If enabled, will display in the Client Profile.
  • Show Client GPA: The Show Client GPA if checked yes, then the Client's active Program Enrollment and GPA will display in the title row once the client has logged in.
  • Permitted Marketing Methods: This field sets the preferred values on the Client field with the same name when a new record is created.
  • Address Method:  Determines how address fields display for customer data entry.  This value works in tandem with the [Address Method] field on the Branch Profile Defaults Tab to choose between State/Province/District.  If State, zip code is set for five characters.  The other two will default to a seven-character postal code.
    • Optional State/Postal:  State/Province/District and Postal Code fields are optional.
    • Optional State/Postal/Country:  State/Province/District, Postal Code, and Country fields are optional.
    • Required Postal/Country:  Town/City, Postal Code, and Country fields are required.  When this option is selected, the client selects a Country for the available list in the WebReg module profile account form, and the State/Province/District only lists those linked to the Country.  This allows for a shorter list.  Make sure the State table is correctly linked to the Country table for this feature to operate most efficiently and accurately.
    • Required ZIP:  Postal Code and State/Province/District are required fields.

Client Profile Classifications

This feature allows for special classifications to be added to the Client Profile screen.  This option is different than the Client Profile Questions which are prompted only when a client registers for user-defined specific course sections.

  • Go to Main Menu > Selects > Classifications.
  • Add a new or edit an existing Classification record.
  • Enter the Classification name.  This value will also act as the field label in the Web Registration Form.  Example: Felony Offender or Single Parent.
  • Check the Web Display = Yes.
  • Do not enter any values in the WebReg Question Settings fields.  These fields are reserved for the Client Profile Questions feature and may disable the Client Profile Classifications from displaying in the Client Profile Form.
  • Save the Classification record. 
  • The field will now display in the Web Registration module as a required field with the user's response either Yes or No.  For an existing client account, if the registrant returns to their account and checks No for an existing Classification, the Classification will be deleted.

New Account Email

This feature enables an automatic email to be sent to the client when a new account is created via the WebReg module. Once enabled, the new account email requires an Instruction Box entry for the message called "WebReg: New Account Email".  New account emails are not sent when a client adds an account for a new member.

Access this setting at Admin/Security > Settings > Web Options.

Enable Select Features: Add the option for "New Account Email". Be sure not to remove highlights for other enabled features in this multi-select field.


Title Case

Applies To:    Enterprise    Plus     Basic

Enables a function cause address and name fields to Title Case when the client profile is saved or modified.  Title Case is when the first character of each word is capitalized

Access this setting at Admin/Security > Settings > Web Options.

Enable Select Features: Add the option for "TitleCase". Be sure not to remove highlights for other enabled features in this multi-select field.
