Overview

Dashboard is a view of key information and statistics most commonly used for quick reference purposes.

  • The Dashboard menu selection displays in the upper left hand corner next to the other menu options.
  • Dashboard is the default view when a user first logs in.
  • Dashboard topics can be enabled and disabled based on user permissions the same as menu options.
  • Note that graphs require Adobe Flash to be installed.  Without Adobe Flash, graphs will not display.
  • Use the Report Menu when more detail is required than the Dashboard provides.
  • Charts and graphs that display dates are in yyyy/mm/dd format intentionally to allow dates to sort in proper order.

Setting Dashboard Permissions

The display of all dashboard topics except News and Information is controlled by the Admin Menu >> Settings >> Permission Groups or Admin Menu >> Settings >> Users sections.  Use the same process of setting permission for Dashboard topics.

  • Note that the News and Information will always display for all users and cannot be disabled.

Dashboard Topics

  • News and Information
    • Two sections appear: 
      • Xenegrade News:  The latest news from Xenegrade as posted in the Support Center will also display in this section.  There are no settings for this section.
      • Organization's News:  The latest news from the organization as entered into the Admin Menu >> System Tools >> News Articles.
  • New Registrations Per Day
    • Displays number of new registrations entered on a specific date using the Registration Date and Quantity fields from Client Assignment.
    • A New Registration is defined as a record entered into the Client Assignment table times the Quantity value.  The Enrollment Status is ignored in this calculation.
    • Select a Time Period or a Session, and click the Refresh button.  The Time Period option includes the current date as the starting point.  If Session is selected, the Time Period is ignored.
    • There are three bar graphs: Total Registrations, Internet Only Registrations, and Non-Internet Registrations.  Determination is based on the Registered By field of Client Assignment.  Blank values fall under the Non-Internet graph.
    • The pie graph displays the total registrations as divided by Registered By methods.  Blank values fall under the Unknown category.
    • Each time the topic is opened or searched, the graphs refresh to the most current data.
  • New Registrations Per Week
    • Displays number of new registrations entered on a specific week using the Registration Date and Quantity fields from Client Assignment.
    • A New Registration is defined as a record entered into the Client Assignment table times the Quantity value.  The Enrollment Status is ignored in this calculation.
    • Select a Time Period or a Session, and click the Refresh button.  The Time Period option includes the current date as the starting point.  If Session is selected, the Time Period is ignored.
    • There are three bar graphs: Total Registrations, Internet Only Registrations, and Non-Internet Registrations.  Determination is based on the Registered By field of Client Assignment.  Blank values fall under the Non-Internet graph.
    • Each time the topic is opened or searched, the graphs refresh to the most current data.
  • Prior and Upcoming Courses
    • Displays a list of course sections matching the selected time period.
    • Course Status is ignored in this calculation.
    • Select a Time Period and a Date option, and click the Refresh button.  The Time Period option includes the current date except for the "Tomorrow" date option. 
    • When selecting the "Running" date option, the day of week is not included as a searched field.  All courses in operation based on start date and end date for the date range selected will display.
    • Click on the Course Code to navigate to the Course Section screen.
    • Click on the QuickList printer icon to print a complete Enrollment List report.
    • Each time the topic is opened or searched, the grid will refresh to the most current data.
  • Snap Shot by Session
    • Displays a snapshot of numerous statistical values for the specified session.
    • Once opened by any user, this section caches data for a 30 minute period.  Values will remain unchanged until the first subsequent user navigates to the Snap Shot topic after the 30 minute cache period ends.  This process continues the same refresh process in 30 minute increments.  This data requires the operation of numerous queries and is cached to save processing and performance.
    • Note that parts of this section will be blank if no revenue records are recorded.
    • Only course sections with an enrollment of one or more that are Enrolled, Completed, or Did Not Complete are included.
    • Only Revenue is included, not other general ledger categories.
    • Discounts, Entry Error, and Uncollected Funds transactions are not included.
    • The Transaction report may not match exactly if the search parameters are not exactly as the Snap Shot by Session.
    • Omit RegFees:  This option omits transactions as follows:
      • No: Everything is included.
      • Yes: Everything but courses that have the course ID "RegFee--".
      • All: Same as "Yes" plus excludes where the Course Category = Registration Fees and the Revenue Item = Registration Fee.
  • Logged In System Users
    • Displays a list of system users currently logged in all Branches or user logged in within the last 24 hours and have not logged out.
    • If a system user did not log out using the proper Logout option, the system user will continue to display as logged in.  Even when the automatic logout function is triggered due to inactivity, the user will still display as logged in on the dashboard.  During the user's next login, an automatic logout record is created and tagged as an automatic logout.  This feature allows a system administrator to determine which users are not using the proper logout procedures.
    • The Email link will open a new email screen using the computers default email application with the email address defaulted for the logged in user.
  • Blocked/Unblocked Clients
    • Displays a list of Clients blocked or unblocked in the previous five days.
    • User can click on the Client Name in the list to navigate to the Client’s Block screen.
