Registration Fees

Many organizations include registration fees calculated into the tuition fee. This feature enables a process to automatically add a separate Registration Fee to a client's registration when they register from the WebReg module.

How To Add a Per Course Registration Fee

  • Add a Revenue Item called "Registration Fee".  Access this option at Main Menu > Selects > Revenue Items. Save the record.
  • Course Sections: For each course section desired, now add a fee using the Revenue Item "Registration Fee". Tag the fee as Include In Balance = Yes. Save the record. Repeat for each course section as needed.
  • Web Options: Lastly, set the global setting called [Include Web Fees] = "All In Balance".  This setting is located at Admin/Security > Settings > Web Options on the Registrations panel.

How To Add a Per Session Registration Fee

This method sets up an automated registration that occurs only once per Session using all the following steps.  This process should be repeated for every Session where a registration fee is desired to be charged.  The registration fee will only be charged once per session no matter how many registrations a student registers for.

  • Add a Revenue Item called "Registration Fee".  Access this option at Main Menu > Selects > Revenue Items. Save the record.
  • Add a Course called "RegFee--".  Spell it exactly as listed here without the quotation marks.  Add any other fields as necessary and desired.
  • Add a Section.  The Section ID can be user-determined. It is suggested to make it match the Session such as "Fall".  
    • Link the Section to a specific Session.
    • Tag the web options for the course section to [Display On Web] = Yes, [Display Cart Button] = No, and [Display Dates] = No.  
    • Set Start and End Dates for the effective period of the registration fee.  Leave dates blank if the registration fee does not have an effective start and end date range.  
    • Set the course status = "Offered".  Modify any other course section fields as necessary and desired.
  • For the same RegFee-- Section just added, add at least one Fee for the registration fee using the revenue Item "Registration Fee". Tag the fee as [Include In Balance] = Yes.
    • For the RegFee-- process to work correctly on the WebReg module, a Required fee or Optional fee greater than zero must exist.  Pick One and Pick Multi fees can be used, but a Required or Optional fee greater than zero must also exist.
    • If using only Required fees, at least one fee must be greater than zero.
    • If using only Optional fees, be sure that the Default Pick fee is greater than zero.
    • If the sum of the fees calculate to zero, the RegFee-- will not be charged to the client in the WebReg module.
  • The Course Section start and end dates are used only for reference and have no effect on the enforcement of the registration fee.  Instead, the enforcement is based on any dates entered on the fee record.  If no dates, the registration fee will be active every day.  If only a fee start date is used, the fee will be active on and after that date. If only a fee end date is used, the fee will be active on and before that date. If both start and end dates are used, the fee will be active between and including the dates entered.

How To Omit a Course or Section From Registration Fee

  • Add a new Program Group with a [Program Code] = RegFeeExclude.  The Program Name can be set as desired.  Set the [Display On Web List] = No (unchecked).
  • Attach this RegFeeExclude Program Group to the Courses and/or Sections that are to be ignored when the automatic RegFee process occurs.
