OnAccount Set Up

Enabling the OnAccount function in the WebReg module allows a client to use any funds that are OnAccount towards their purchases.

OnAccount 

  • If the client has a positive amount in their OnAccount balance, they will see a message with the available amount when they view their cart. 
  • The client can choose not to use the OnAccount balance to pay for their purchase.  If the client chooses to use the OnAccount balance, they are instructed to click the [Recalculate] button. This function will determine how much of the OnAccount balance is needed to pay for the courses in their cart.  If the client adds more courses to their cart, they must click [Recalculate] again to perform the OnAccount calculation. 
  • If the client has more funds OnAccount than the purchase, the total due will be paid for by the OnAccount funds.  If the client has less funds OnAccount than the total due, the entire OnAccount balance will be used and the client will pay the balance upon checkout.  The client cannot select the amount of OnAccount funds to use towards a purchase. The OnAccount recalculation process automatically determines the amount and distribution of the OnAccount funds.
  • Once the [Recalculate] button is clicked, the use of OnAccount funds is automatic.  If a client decides not to use the OnAccout balance after using the [Recalculate] button, they must clear their cart and start over. 
  • If the purchase is paid in full by OnAccount funds, the client will not be redirected to the payment page upon checkout.
  • Upon checkout, the OnAccount payments will record “OnAccount Used” transactions and their payments reduced by the same amount.
  • OnAccount funds can only be used for the same client to whom they are issued even if the client adds a member’s purchases to the cart.
  • In a WebReg module with multiple branches where a client may have a balance OnAccount in more than one branch, only one OnAccount amount will be available in the cart based on the course(s) in the cart.  If the client desires to use an OnAccount amount from multiple branches, each OnAccount purchase must be made separately for that branch.
  • The available OnAccount balance is reduced immediately upon order completion.

To Set Up OnAccount in the WebReg Module

  • Go to the Admin/Security > Settings Web Options.
  • Locate the [Enable Select Features] field and highlight the “OnAccount” option.  Do not disable other features, if any, that are already highlighted.
  • Save the changes.
