The Send SMS function in XenDirect allows users to send SMS text messages to clients or staff using pre-created SMS templates. Before initiating the send process, an SMS template must be created.

How to Send SMS Messages
Follow these steps to send an SMS message:
- Go to Tools → Marketing Functions → Send SMS.

Select the SMS Type:
- Registrants (Clients)
- Instructors (Staff)
- Click Next.

Filter the Recipient List:
- Include List(s): Select one or more saved searches to include recipients (Required).
- Select the desired SMS Template.
- Click Next.

Review the recipient list.
- If correct, click Send SMS.
- If incorrect, click Back to modify selections or Cancel to exit without sending.
Key Notes and Best Practices
- Message Delivery Time: Delivery time varies based on multiple factors such as network congestion.

Marketing Permission Enforcement:
- The system automatically checks if clients or staff have granted permission to receive SMS messages.
- Only recipients with permission will receive the message.

Always Preview Before Sending:
- The system generates a report listing the clients who will receive the message.

The report also highlights clients/staff who will not receive the message due to:
- Missing mobile phone number.
- Profile settings restricting text messaging.

Account Message Unit Balance:
- If insufficient message units are available, the system will prompt the user and prevent sending until enough units are added.

Batch Sending Recommended:
- Sending messages in smaller batches is advised to avoid delays.

Automatic Case Note Updates:
- When an SMS is sent to a client, a record is added to their Case Notes with the SMS template name and date sent.
- When an SMS is sent to a staff member, a record is added to their Staff Notes Log with the SMS template name and date sent.
