How To Register a Client Into an Ed2Go Course

Once Ed2Go course section offerings are entered, clients can be registered via the Admin and WebReg modules. In both cases, the registration can be sent to Ed2Go electronically. From the WebReg module, this send registration process is automatic once the client has successfully submitted their cart purchases. In the Admin module, this process must be initiated by a user once the registration and payment process is completed.

For registrations submitted from either module, the client will have to wait up to 10 minutes to be able to access the course.  Clients can then login into the WebReg module, go to the MyAccount >> Registrations page and use the [Access Course] link.  This uses a single sign on that automatically takes them to their course. This is the only way the client can access the course.

Create Ed2Go Confirmation Email

  • Before you can register and send automatic emails to Ed2Go clients, you must create the email confirmation template. This process only needs to be performed one time. Edit the template as desired over time. The email also uses the same email banner image as entered for the WebReg email confirmations.
  • Create an email template:
    • Release 3: Go to Tools > Marketing Functions >> Create Email Templates.
    • Release 2: Go to Report Menu > Marketing > Templates - Email.
  • Add a New email template record.
  • Title the email template record “Ed2Go Confirmation”  and “Ed2Go CTP Confirmation” (no quotes). The names should match this exactly.
  • Enter a value for the email Subject into the Subject field.
  • Add text for HTML Body and Text Body. A sample is listed below.  Course registration details will be sent along with the Body you create. Include any instructions you desire the client to have about the Ed2Go including how to take the Ed2Go course online.
  • If desired, add an alternate return email address. If blank, the same default email address used in the WebReg email confirmations is used as the return email address. This email will be seen by the client as both the From email and the Return email.
  • Add other fields as desired. Leave scheduling fields blank.
  • Save the email template record.

Process a Registration in the Admin Module

The following steps assume the client has not already been registered with Ed2Go.  If the client has already registered with Ed2Go but the registration is not in XenDirect, enter the registration in the same manner as any other assignment.  However, be sure to add a value to the [Vendor Date] field.  This prevents the registration from being processed again with Ed2Go.

  • Enter registrations and payments for Ed2Go course offerings in XenDirect as you normally would any other course registration.
  • Upon completion of the registration and payment process, go to the Assignment window of the client registrant.
  • For the Ed2Go registration, a small blue Send Ed2Go icon will appear in the same row. If the icon does not display, then either the assignment is not an Ed2Go course offering or the registration has already been sent to Ed2Go.
  • Click the Send Ed2Go icon to send the registration information to Ed2Go electronically. The popup window will let you review the details before sending. If the details are correct, click Submit.
  • When Ed2Go has processed the registration, you will receive a return prompt. Please be patient.
  • The return prompt will inform you if the registration was successful or failed. If the registration failed, the prompt should include the reason for the failure.
  • If successful, the assignment is automatically modified using a field called Vendor Date. This is the date and time the registration was successfully sent and registered with Ed2Go . The client is then automatically sent a confirmation email about their online Ed2Go course.
  • If not successful, a prompt will display "Ed2Go Registration Failed".  Following this message, the failure text sent by Ed2Go will display.  When contacting Ed2Go, use this failure message to help determine why the registration failed.  Example:  "Ed2Go Registration Failed!  General Failure".
  • Once successfully processed, this registration will appear in your Ed2Go administrative login under the "Verified" registrations section.
  • If the client's invoice amount for the Ed2Go course is $0, the registration may fail. Ed2Go is expecting a value greater than $0 for the amount charged to the client.

Process a Registration in the WebReg Module

  • Clients will purchase registrations and make payments for Ed2Go course offerings as they would any other normal course registration.
  • Upon successful completion of the registration and payment process, the registration is automatically sent to Ed2Go electronically.
  • When Ed2Go has processed the registration successfully, the assignment is modified with a view only field called Vendor Date. This is the date and time the registration was successfully sent and registered with Ed2Go . The client is then automatically sent a confirmation email about their online Ed2Go course.
  • Once successfully processed, this registration will appear in your Ed2Go administrative login under the "Verified" registrations section.
  • If the registration failed, the client is still sent an email but with a comment to contact your office. Additionally, an email is sent to your organization about the failure so that you can follow up on the matter. The client’s assignment and payment remain intact and active until modified by your office.

Data Sent to Ed2Go

The following data is sent to Ed2Go when processing a registration electronically.

  • Ed2Go Course Title
  • Ed2Go Course ID
  • Ed2Go Section ID
  • Client ID
  • Client First Name
  • Client Last Name
  • Client Email (Used as the Ed2Go login username.)
  • Client Password (Only used if client is a new Ed2Go account.  If client has an existing Ed2Go account, the XenDirect password does not replace their existing Ed2Go password.  The client will use their XenDirect password only when they did not have an existing Ed2Go account.)
  • Client Amount Paid
