Marketing Reports: Letters/Forms

Merge templates in XenDirect allow users to generate letters and forms by merging predefined templates with client and course data. These templates are used in various reports and automated communications.

Overview

Merge templates are used to generate reports and correspondence. The following report menus support data merging:

  • Clients Merge Reports (Insight Menu → Clients → Client Merge)
  • Courses Merge Reports (Insight Menu → Courses → Client Merge)

Some reserved template names are used for specific functions within XenDirect. These names should be used only for their designated purpose:

  • Email Partial Payment → Used for WebReg module email confirmation after a successful balance due payment.
  • Email Invoice → Used within the Admin module when emailing an invoice.
  • Email Receipt → Used within the Admin module when emailing a receipt.
  • Email Waitlist → Used within the Admin module when emailing a status change from Waitlist to Active.
  • Ed2Go Confirmation → Used for Admin and WebReg modules email confirmation after an Ed2Go course registration.
  • Ed2Go CTP Confirmation → Used for Admin and WebReg modules email confirmation after an Ed2Go CTP course registration.
  • ProTrain Confirmation → Used for Admin and WebReg modules email confirmation after a ProTrain course registration.

Creating a Merge Template

To create a Letter/Form template for merge reports:

  1. Navigate to Tools → Marketing Functions → Create Merge Templates.
  2. Click New Merge Template.
  3. Fill in the required fields:
    • Template Name → Enter a unique name for the template (Required).
    • Type → Select whether the template is for a Form, Letter, or Both (Required).
    • Header/Subject → This text appears in the header section of merge forms (not used in merge letters).
    • Body 1 → Text for Body 1 section of the letter/form.
    • Body 2 → Text for Body 2 section of the letter/form.
    • Closing → Text that appears in the Closing section of the document.
    • Population → Select the population the template applies to (templates may be filtered based on this selection).
    • Topic → Assign a topic to the template (determines where the template appears in report options).
    • Alt Return Mailing Address → If specified, this overrides the default return address from the Branch Profile in letter merges.

Embed Codes & Course Merge Forms

  • InSight reports do not support embed codes.
  • InSight Pro users can design reports directly with specific data fields, eliminating the need for embed codes.
