How to Filter, Format and Print an Attendance Roster

Overview

In addition to the search criteria available for Attendance Rosters, there are several report options that are crucial to displaying the correct data and format desired.


To Filter, Format, and Print an Attendance Roster

  • Go to Report Menu > Attendance > Rosters
  • Select the data filter desired from the Search Criteria fields available.
  • Select the Report Options desired.  See below for details on these options.
  • Click the Print Preview button.

Report Options

  • Template:  Determines which roster template is used to display the data.  Note that the Number of Classes roster template automatically determines to display either 4, 8, 12, or 18 columns based on the number of classes the course section is scheduled.  If the Total Number of Classes is not set or is zero, 18 columns will display.
  • Sort By:  Determines what order the roster reports will display.  The row order per roster is not affected.
  • Report Date:  The date the report is to be run for.  This date value will determine what header columns will display and which clients are listed if the Filter By option is set to Dates.  Default date is current date if no date is entered.
  • Filter By:  This report option determines which Client Assignments will be included in the report based on the following options.  This report option is ignored if one or more values are selected for the Enrollment Status search field option.
    • Dates: Using this option, rosters will include Client Assignments based on their Assignment Start and End Dates for the date entered in the Report Date field.  If the Report Date is blank, it defaults to current date.  Enrollment Status is ignored using this option.  Clients will display if they have an active assignment during the dates of the report using their Assignment start and end dates.  If a client is not active during the dates chosen for a report, they will not display.  If a Client Assignment does not have dates, the Assignment record will display.
    • Status: Using this option, rosters will include Client Assignments that are listed with an Enrollment Status that is considered "Active" including these status values "Enrolled/Active", "Enrolled/Hold" and "Approved Visitor".  Assignment Start and End Dates are ignored using this option.
    • Ignore: Using this option, rosters will include all Client Assignments as both Assignment Dates and Assignment Enrollment Status values are ignored.
  • Blank Roster:  This option determines if the Roster will print with or without client names in the grid under the course header.  This option is not valid for Daily Scan and Weekly Scan.
  • Display (4 options):  This option determines if the data named will display on the roster.  Note that these options will change the report row height and may cause rows to wrap to more pages.  These options are ignored for Monthly, Daily Scan, and Weekly Scan.
