Non Credit FTE Report

Prints Non Credit FTE report to specifications and format set by the customer.

  • Report Options
    • Report Format:  Select Census, Census with Recalc or Pre-Census (older format before Census version was added) format.  See "Census Recalculation" below.
    • Branch:  Select Current (default) or All.  To run a specific Branch only, log into that required Branch.
    • Group By:  Select report grouping method.
    • Page Break on Group:  Select "Yes" to page break after each group in the "Group By" setting.
    • FTE Hours Only:  Select "Yes" to include only course sections tagged as "FTE".  This option is not used for Census formats.
    • Maximum Hours:  Set this value to determine maximum number of hours per client.  Optional.
    • Min Total Hours:  Select the minimum number of total hours across all assignments the client must have to be included.  This field is only operational when the "Census with Recalc " template option is selected.
  • Search Options:  Enter search values as desired.  Attendance Start and End Dates are required for the Pre-Census and Census with Recalc formats.

FTE Export

Exports Non Credit FTE data to specifications and formats set by the customer.

  • Export Options
    • Format:  Select Census, Census with Recalc or Pre-Census (older format before Census version was added) format.  See "Census Recalculation" below.
    • File Template: Select from Course, Section, Student, or Revenue templates
  • Search Options:  Enter search values as desired. 
    • Attendance Start and End Dates are required for the Pre-Census and Census with Recalc formats.
    • Branch:  Select Current (default) or All.  To run a specific Branch only, log into that required Branch.
    • FTE Hours Only:  Select "Yes" to include only course sections tagged as "FTE".  This option is not used for Census formats.
    • Maximum Hours:  Set this value to determine maximum number of hours per client.  Optional.
    • Min Total Hours:  Select the minimum number of total hours across all assignments the client must have to be included.  This field is only operational when the "Census with Recalc " template option is selected.

Census Recalculation

Both the FTE Report and Export contain a Census Recalculation option.  When selected, a temporary table of data is created that contains most of the reporting and exporting data.  This temporary table is specific only to the user that ran the recalculation.  Other users must run the recalculation process to obtain the data.  Once calculated, subsequent reports and exports will contain primarily the same FTE data until a recalculation is performed again.

During the recalculation process, a Census Date is calculated.  From that, the process can determine which clients fit the Census requirement and which do not.  The final results are tagged as Census Hours or Contact Hours accordingly.

The following fields and settings must be set to obtain an accurate and complete calculation.  Without these values, it is not possible to determine an accurate Census Date or Hours.  These values are specific to each Branch.

  • Course Section
    • Start and End Dates:  These dates must contain a value that falls within the FTE term.
    • Session: All course sections within the same term must contain the same Session name.
    • Days of the Week:  This field must contain the days of the week the course section is held.
    • Contact Hours Per Day:  This field must contain a valid number. 
    • Total Scheduled Hours:  This field must contain a valid number.
  • Calendar:  In order to obtain an accurate Census Date, all dates the program will not operate (such as holidays) but is scheduled need to be added to the master Calendar.  Add these dates to the master Calendar and tag the date as "Not Scheduled".
