Field Types

Following are the field types used throughout XenDirect.


Text Box

Allows user to add any data that meets formatting requirements. Formatting may change from field to field and may allow alpha characters, numeric characters, and/or special characters (for example: -, #, %, @).

Example: Client First and Last Name fields

Memo/HTML Box

Also known as a Text Area field, allows user to add a significant amount of text with paragraphs. Usually reserved for note and description type values. Some Memo Box fields also have an HTML editor available to assist in creating an HTML value. These fields can be identified by WYSIWYG editor that displays above the field. Most HTML Memo Box fields are those used in the WebReg or similar module. The maximum length for this field is 65,536 characters.

Microsoft Word Warning: Pasting text or html copied from MS Word into an HTML field inserts problematic HTML that must be stripped. Use the [Paste from Word] button on the HTML toolbar when pasting from MS Word. If previously saved HTML contains this code, recopy the text/html into the field using the [Paste from Word] button and then save the record.


Important Note: Xenegrade support is limited to the Memo/HTML field itself and not the HTML entered by a user. Users are responsible for all HTML content and the effects HTML can cause on web pages, reports, exports, and conversion to PDF documents. Xenegrade support staff do not provide assistance on writing or editing HTML code.

Spell Check: HTML fields have a spell check in the HTML editor. You may need to enable the SCAYT option in the spell check drop down box. When enabled, spell check occurs within a brief moment of time after the user has been typing.

Drop Down List or Select Lists

Allows user to select one item from items in list. See the details about any specific form field to determine if the field contents is user defined.

1. Click the drop down list arrow to display the items list.
2. Select an item from the list. You may have to scroll to see items lower in the list.
OR
1. Select Lists support auto-completion meaning as you type the first characters of the item you are seeking, the list will saerch for a match.
2. When the correct item is displayed, continue data entry.

Example: Name Prefix (list is open and 'Miss' is selected)

Combo-Boxes / Add-On-The-Fly

Some Select Lists also support Combo-Boxes meaning the user can also type a new value in the field and it will be saved to the table related to the Select List. This is a similar to add-on-the-fly from Release 2. Users with "Add" permissions can use the option in Add/Edit forms to add a new item to a Select List. This option allows users to add a new select list item without leaving the current Add/Edit form. The user must have "Add" permission to use this function.

Multi-Select Lists

Allows user to select multiple items from items in list. See the details about any specific form field to determine if the field contents is user defined.

1. Select an item from the list. You may have to scroll to see items lower in the list.
2. To select more than one item, use CTRL + CLICK to select each item or click the checkboxes for each value. (You can also use CTRL+CLICK to deselect an item in the list.)
3. When done, continue data entry.

Example: Public Assistance at Entry ( 'TANF' and 'TANF Exhausted' are selected)

Locked Lists and User-Defined Lists

Locked Lists: Lists identified as locked do not allow the user to add, edit, or delete items from the available selection of list items.

User Defined Lists: Lists identified as user defined allow the user to add, edit, or delete items from the available selection of list items.

Checkbox

Allows user to select a Yes or No response to a field. A Checkbox without a check = No. A Checkbox with a check = Yes. A mouse click or a keyboard spacebar will edit the value of this field.

  1. Click on the Checkbox to change the value, OR

  2. If the field has the current focus, use the spacebar to change the value.

Example: Workers Comp = Yes; Retired and Unemployment = No.

Radio Button

Allows user to select a Yes or No response to a field. A mouse click or a keyboard cursor left or right buttons will edit the value of this field.

  1. Click on the Yes or No value of the radio button to change the value, OR

  2. If the field has the current focus, use the Cursor Left or Cursor Right button to change the value.

Images

Uploaded image files must be of a JPG or PNG format. Image files saved using a Mac based image application may experience an upload related to an unsupported format. In this case, use another application to re-save the file such as the one available at https://www.gimp.org.
When image fiels are uploaded, the file name is amended to make the file name unique. Additional text, usually numbers, is added to the end of the filename.

Important: When adding or modifying images, do not add or edit any other field values in the same data at the same time. Upload the image by itself after you create the record.

Phone Number Fields

Phone numbers require Area Code and a 7 character number. The Area Code does support a two number value as long as a dash "-" is entered to account for the third character. Web Registration also supports a two number area code and will automatically add the dash.

Required Fields

Required fields are noted with a red asterisk as in the following example. Required fields are the minimum field that must be completed to save a record. Required fields cannot be blank.

Course Code Pop-Up

Course Code fields may include a button to the right called "Show List". This button will display a pop-up window of available courses. Click on a row in the list to populate the Course Code field automatically. The list may be filtered based on the Default Session in the Branch Profile. The list can also be filtered by entering starter characters in the Course Code field before clicking the Show List button. For example, if "A" was entered into the course code field and then Show List button was clicked, only courses with a course code starting with "A" will display. The same search will also include the instructor's last name for both the Teacher 1 and Teacher 2 values in the Course Section.


Field Formatting

Following are various field formats used throughout XenDirect. Field formats may vary on the same form and between forms.


Dates

Release 3:

Dates can be entered manually or you can use the Calendar button. Dates must be entered using a 2 digit month, 2 digit day, and 4 digit year.


Release 2:

Dates can be entered manually or you can use the Calendar button. Dates can be entered in any of the following formats (2 or 4 digit year) as long as you follow a month/day/year format.

a) 9/3/2020

b) 09/03/20

c) 09/03/2020

d) 9/3/2020

Once saved, the date will always revert to a mm/dd/yy format where all three date sections display as two characters. However, dates before 1/1/1930 and after 12/31/2029 MUST be entered as a four digit year. In some cases, including InSight filters, format "c" must be used if manually entering a date.

Text

Most text fields allow alpha characters, numeric characters, and/or special characters (for example: -, #, %, @). Some text fields may appear as a number field, but are actually a text field such as the Client ID field. The user has great flexibility in entering data into most text fields.

Memo Box

Most memo box fields allow alpha characters, numeric characters, and/or special characters (for example: -, #, %, @). Some will support paragraph and HTML support. The user has sigificant flexibility in entering data into most memo box fields. These field types also have a built in spell check feature displayed to the right of the field.

Browser Compatability: The spell check function will operate correctly on HTML fields in all browsers except Internet Explorer.

Numbers

Number fields can only be entered as numbers. Some fields may appear as a number, but are actually text fields, such as the Client ID field. Enter number fields using the relative formatting appropriate for the field including a decimal points. Currency or percent signs are not required. Include hyphens as desired. Most fields using hyphens will automatically format the field for you or the dashes are not required.


Any number that is restricted to an integer has a minimum and maximum value range of -2,147,483,648 to 2,147,483,648.

Special Characters

The use of special characters, although allowed in many text field, may affect searching and sorting in ways the user may not expect. It is suggested to use special characters only when necessary and not as the first characters of a field.

Times

Times are entered using the hours, minutes and AMPM select lists. Hours and minutes are both required, or the field will revert to a blank value.
