The Postal Codes list contains postal codes associated with City, State, and Country information. The allowed length of postal codes and address formats is determined by the Branch Profile settings under Preferences → [Address Method]. This document outlines how postal codes function in the system, including data entry processes and lookup functionalities.

Fix Case Function
The Fix Case function corrects case formatting issues in the City field of all Postal Code records, converting them to Title Case (capitalizing first letters).
- This feature is used to correct ALL CAPS or inconsistent capitalization issues.
- Click Fix Case in the blue toolbar and follow the prompts.
- This function cannot be undone.
How Postal Codes Work When Entering Addresses
The Postal Code process varies based on whether the address is U.S.-based or non-U.S.-based.
U.S. Postal Codes
- Ensure Postal Country is set to United States.
-
You may enter Postal City, State, and Postal Code, or only enter the Postal Code.
- If only the Postal Code is entered and it has multiple alias cities, one will be randomly selected.
-
Use the Postal Code Lookup button to find a postal code:
- Enter the first few characters of the postal code or city in the Postal Code field.
- Click Postal Code Lookup → Choose the correct value.
- Once selected, the City, State, Postal Code, and Country fields will be auto-filled.
-
If the Postal Code does not exist in the table, enter the Postal Code (without a City or State).
- When saved, the system searches the official USPS database and automatically adds it to the Postal Code table.
- If the postal code is not found in either XenDirect or USPS, a "Not a valid US postal code" message appears.
Non-U.S. Postal Codes
- Ensure the Postal Country is set correctly. Use the Country Lookup if needed.
-
Enter the Postal Code, City, and State (as applicable).
- If no Postal Code exists, leave the field blank.
- At least one of Postal City or Postal State must have a value.
-
Use the Postal Code Lookup button if needed:
- Enter the first few characters of the postal code or city → Click Postal Code Lookup.
- Select the desired result, and the City, State, Postal Code, and Country fields will auto-populate.
- If the postal code combination (City, State, Code, Country) does not exist, it will be automatically added upon saving for future use.
