Replace Postal Codes

This workflow is used to bulk update, delete, or import Postal Codes.

Overview

  • WARNING!  There is no undo option for these functions.  Be confident of choices when running any of these replace functions.
  • This function contains options to replace States, Countries, Postal Codes, Alias Postal Codes (US), duplicate Postal Codes, or import US Postal Codes.

Delete Unused Postal Codes

  • Deletes Postal Code records not used anywhere within the system.

Import Postal Codes (US)

  • Imports US Postal Codes into the master postal code records.

Replace Alias Postal Codes

  • Replaces city names that match the USPS alias city to the official USPS postal city.  If the change creates a duplicate record, the duplicate will be replaced as noted above in the Replace Duplicate Postal Codes function.

Replace Duplicate Postal Codes

  • Replaces all postal codes that have an exact match of Postal Code and City Name in more than one postal record.  The duplicate postal codes are deleted after all tables are updated. This function does not check State Name, so it is possible that two matching Postal Code and City Name records have two states.  One is correct and one is incorrect.  The function does not know which is correct and will save the first one entered and delete duplicates created after it.  This function can only be run before 6AM EST, after 6 PM EST, or on weekends due to the level of processing required.

Replace One County

  • Replaces one County Name with another County Name in all tables that contain County Name fields.  The Unwanted County Name is deleted after all table updates.  The replacement County remains unchanged.

Replace One Postal Code

  • Replaces one Postal Code with another Postal Code in all tables that contain Postal Code fields.  The Unwanted Postal Code is deleted after all table updates.  The replacement Postal Code remains unchanged.

Replace One State/Province

  • Replaces one State Name with another State Name in all tables that contain State Name fields.  The Unwanted State Name is deleted after all table updates.  The replacement State remains unchanged.

Replace One Country

  • Replaces one Country  Name with another Country Name in all tables that contain Country Name fields.  The Unwanted Country Name is deleted after all table updates.  The replacement Country remains unchanged.

 To Replace a Postal Code, State Name, and/or Country Name

  • Click on the Replace Postal Code menu option.
  • Select the desired function.
    • Replace One Postal Code (single)
    • Replace One State/Province
    • Replace One Country
  • Select the Unwanted and Replacement values, or confirm the replacement options.
  • Click SUBMIT to start the process and follow the screen prompts or click CANCEL to quit.

To Replace One Postal Code

  • Click on the Replace Postal Code menu option.
  • Select the Replace One Postal Code (bulk) function.
  • Select the Postal Code desired.  Inside the parenthesis displays the number of Postal Code records matching the postal code value.  Click Submit.
  • In the grid display, select the following:
    • Select ONE row only as the Default Postal Code.  This will be the postal code that will be saved and used to replace other selected postal codes.
    • Select EACH row to be replaced by the Default Postal Code.  These replace postal codes will be replaced by the default postal code and then deleted from the Postal Code table at the end.
    • Select rows to be ignored and not replaced.  These postal codes will remain as they are in related records and the Postal Code table.
  • Click SUBMIT to start the process and follow the screen prompts or click CANCEL to quit.
  • Depending on the number of related records and number of replace postal codes selected, this function could take up to a minute to complete.  It is suggested not to run this fucntion during a peak enrollment and/or usage time of day.

To Replace Duplicate Postal Codes

  • Click on the Replace Postal Code menu option.
  • Select the Replace Duplicate Postal Codes function.
  • Click SUBMIT to start the process and follow the screen prompts or click CANCEL to quit.
  • Note that the Replace Duplicate Postal Codes option may take a significant amount of time to complete.  It is possible the function screen may freeze if the process takes more than an hour to complete.  In this case, close the window and start again.  The process may have completed and the second time the process is run, it may only take seconds if there are no duplicates.
  • Duplicates are defined as postal records with the same city, state, postal code, and country. Check for duplicate State and Country records before running this function for maximize effectiveness.

To Delete Unused Postal Codes

  • Click on the Replace Postal Code menu option.
  • Select the Delete Unused Postal Codes function.
  • Confirm and Submit.
  • All postal codes in the Postal Code table will be deleted if they are not used somewhere in another table.

To Delete One Postal Code

  • Click on the Replace Postal Code menu option.
  • Select the Delete One Postal Code function.
  • Select the desired Postal Code.
  • Confirm and Submit.
  • All references to the selected postal code in all tables will be removed and the postal code will be deleted from the Postal Code table.

To Replace Alias Postal Codes

  • Click on the Replace Postal Code menu option.
  • Select the Replace Alias Postal Codes function.
  • Confirm and Submit.
  • All city names that match the USPS alias city will be changed to the correct USPS postal city.  If the change creates a duplicate record, the duplicate will be replaced as noted above in the Replace Duplicate Postal Codes function.  An example:
    • Zip Code, Correct City, State, Alias City
    • 33706, Saint Petersburg, FL, Saint Petersburg
    • 33706, Saint Petersburg, FL, Saint Pete Beach
    • 33706, Saint Petersburg, FL, Pass A Grille
    • 33706, Saint Petersburg, FL, Treasure Is
    • 33706, Saint Petersburg, FL, St Pete Bch
    • 33706, Saint Petersburg, FL, Treasure Island
    • 33706, Saint Petersburg, FL, St Pete Beach
    • 33706, Saint Petersburg, FL, Pass A Grille Beach
    • 33706, Saint Petersburg, FL, St Petersburg
    • 33706, Saint Petersburg, FL, St Petersburg Beach

To Import US Postal Codes

  • Click on the Replace Postal Code menu option.
  • Select the Import Postal Codes (US) function.
  • Select the desired State and submit.
  • All postal codes for the selected State will be imported into the system Postal Codes table.  No duplicates will be created if postal codes exist.
