Replace Postal Codes

The Postal Codes function allows users to bulk update, delete, or import postal codes. This guide provides step-by-step instructions for replacing one postal code, replacing duplicate postal codes, and important considerations before running these processes.

Key Considerations

  • No Undo Option: These functions are irreversible. Be certain before proceeding.
  • System Load Restrictions:
    • The Replace Duplicate Postal Codes function can only be run before 6 AM EST, after 6 PM EST, or on weekends due to high processing demands.
    • It is recommended not to run replacement functions during peak enrollment or usage times to avoid slowdowns.
  • Duplicate Record Handling:
    • The system only matches Postal Code and City Name when identifying duplicates.
    • If two records have the same postal code and city name but different states, the system does not determine which is correct—it retains the first entered record and deletes duplicates created afterward.

Replacing One Postal Code

This function replaces a specific Postal Code with another across all related tables. After the update, the old postal code is deleted from the Postal Code table.

Steps to Replace One Postal Code

  1. Click the Replace Postal Code menu option.

  2. Select the Replace One Postal Code (bulk) function.

  3. Select the Postal Code to be replaced.

    • The number of matching records for the selected Postal Code is displayed in parentheses.
  4. Click Submit to proceed.


Replacing Duplicate Postal Codes

This function replaces and removes duplicate postal codes that share the same city name and postal code across multiple records.

Steps to Replace Duplicate Postal Codes

  1. Click the Replace Postal Code menu option.
  2. Select the Replace Duplicate Postal Codes function.
  3. Click Submit to begin the process or Cancel to exit.
  4. If the process takes longer than expected and the screen freezes, close the window and restart the process.
    • If duplicates have already been removed, the second run may complete within seconds.

Important Notes About Duplicates

  • Duplicate postal records are defined as records with the same city, state, postal code, and country.
  • Before running this function, check for duplicate state and country records for better accuracy.
