Getting Ready for GoLive
Your organization has reached an important milestone in the transition to WebReg 3.0! Your new registration site is now available in **Preview Mode**, giving your staff an opportunity to explore, customize, and test the site before it becomes available to students and the public.
The Preview Stage is designed to help you become familiar with the new WebReg 3.0 experience, confirm that your settings and branding are correct, and identify anything that may need attention before GoLive.
The good news: You are not learning an entirely new registration system. Most of the underlying course, student, registration, and financial management processes remain in XenDirect. Your primary focus during Preview should be on the new WebReg interface, its configuration options, and the student registration experience.
We recommend setting aside time to complete the following checklist. You can involve multiple staff members, particularly those responsible for registration, course management, website content, and financial transactions.
1. Access Your Preview Site
Your organization will receive a unique Preview URL through a support ticket. This URL allows authorized staff to access your new WebReg 3.0 site before it becomes publicly available.
☐ Locate and save your organization's Preview URL. [ ] Share the Preview URL with appropriate staff members.
☐ Open the site using a desktop computer and a mobile device.
☐ Review the home page and general navigation.
☐ Become familiar with the new registration and shopping cart experience.
☐ Confirm that your staff members can access the site as needed.
Important: Do not share your Preview URL with students or the general public. The Preview site is intended for internal review and testing. Your public GoLive URL will be different from the Preview URL.
2. Review Your WebReg Settings
WebReg 3.0 includes configuration options that control how your registration site looks and operates. Some settings may have been carried forward from your previous WebReg site, while others are new.
☐ Open and review the WebReg 3.0 Settings in XenDirect.
☐ Confirm your organization's name and contact information.
☐ Review registration and account creation settings.
☐ Review shopping cart and checkout settings.
☐ Verify the information displayed to students during registration.
☐ Review available options for displaying courses, categories, and programs.
☐ Review any new settings that may be applicable to your organization.
☐ Save changes and verify how they appear on your Preview site.
Training Available: We recommend reviewing the WebReg 3.0 Settings webinars available.
3. Review Your Branding and Appearance
WebReg 3.0 provides additional flexibility for customizing the appearance of your registration site. This is an opportunity to ensure your new site reflects your organization's branding.
☐ Confirm that your organization logo displays correctly.
☐ Review your primary and secondary brand colors.
☐ Review fonts, buttons, links, and other visual elements.
☐ Confirm that images display correctly and are appropriate.
☐ Review the header and footer content.
☐ Verify that contact information and external website links are correct.
☐ Review the site's appearance on desktop, tablet, and mobile screens.
☐ Make any necessary branding adjustments.
Tip: You do not need to redesign your entire site before GoLive. Focus first on the essential branding elements. Additional enhancements can be made later.
4. Review Your Home Page and Additional Pages
WebReg 3.0 includes a Pages feature that allows you to build customized content pages without programming knowledge.
Depending on your organization's needs, you may wish to create or enhance your home page and other informational pages. Home pages and additional pages are optional. When your preview site is created, there is a default home page with sample features.
☐ Review the default home page.
☐ Determine whether additional content should be added.
☐ Review the available page sections, including Hero, Features Grid, Call-to-Action, Course Showcase, FAQ Accordion, and Contact Form.
☐ Add or revise images, text, and links as appropriate.
☐ Review any additional pages you have created.
☐ Confirm that page navigation and links work correctly.
☐ Review pages on both desktop and mobile devices.
Remember: Building additional pages is optional. Your organization can begin using WebReg 3.0 without creating an extensive collection of custom pages.
5. Review Courses, Categories, and Search
One of the most important parts of Preview is confirming that students can easily locate the courses they want to register for.
☐ Verify that active courses and sections appear as expected.
☐ Review how courses are organized by category and program.
☐ Test course searches using keywords.
☐ Test available filters and sorting options.
☐ Open several course descriptions and review their content.
☐ Confirm that dates, times, locations, fees, and other details are correct.
☐ Review how full or unavailable courses are displayed.
☐ Confirm that courses intended to be hidden are not publicly displayed.
☐ Review the appearance of online, in-person, and other applicable course formats.
If course information is incorrect, determine whether the correction should be made in XenDirect rather than in WebReg settings.
6. Test Student Accounts and Registration
Your staff should experience the site from a student's perspective. This will help identify questions or issues students might encounter when the site becomes available.
☐ Create a new test student account.
☐ Review the account creation and password setup process.
☐ Sign out and sign back in.
☐ Test the password reset process.
☐ Review the student profile and available account options.
☐ Search for and select a course.
☐ Add a course to the shopping cart.
☐ Review the checkout process.
☐ Test any applicable custom questions or registration requirements.
☐ Review the confirmation information displayed after registration.
☐ Verify that the registration appears correctly in XenDirect.
Important: WebReg 3.0 uses a different password process from the previous WebReg version. When testing account creation and login, use a new test account rather than assuming your existing credentials will work the same way.
7. Review Checkout
The checkout process is a critical part of the GoLive preparation process. Your organization should review the checkout experience and confirm that it is functioning correctly.
☐ Verify that course fees and applicable charges display correctly.
☐ Review available payment methods.
☐ Confirm that your payment gateway configuration is complete.
☐ Test the checkout process through the payment stage.
☐ Confirm that the transaction is recorded correctly in XenDirect.
☐ Confirm that the appropriate receipt or confirmation is generated.
Important: Payment processing is not part of the preview process. Xenegrade will test the payment gateway before your GoLive date.
8. Test Features Specific to Your Organization
Not every organization uses the same WebReg features. Review the features your organization currently uses and any new WebReg 3.0 features you plan to enable.
☐ Test discount codes, promotional pricing, or other applicable pricing options.
☐ Review waitlist functionality, if enabled.
☐ Test registration for multiple students or family members, if applicable.
☐ Review any membership-related registration requirements.
☐ Test guest purchasing, if your organization plans to enable it.
☐ Review course prerequisites or registration restrictions.
☐ Test any applicable custom questions.
☐ Review any available student self-service options.
☐ Confirm that important notifications and confirmation emails are received.
If a feature does not appear to operate as expected, submit a support ticket with the details.
9. Review the Mobile Experience
Many students will access your registration site using a phone or tablet. WebReg 3.0 is designed to support different screen sizes, but it is still important to review your own content and branding.
☐ Open your Preview site on a smartphone.
☐ Review the home page and navigation menu.
☐ Test course searches and filters.
☐ Review course descriptions and images.
☐ Add a course to the shopping cart.
☐ Review the account creation and login screens.
☐ Confirm that buttons, links, and forms are easy to use.
☐ Look for text, images, or other content that does not display correctly.
10. Report Issues and Request Assistance
During Preview, you may encounter something that does not look correct, a feature that behaves unexpectedly, or a setting you do not understand.
Xenegrade's support team is available to assist.
☐ Identify any issues discovered during your review.
☐ Submit a separate support ticket for each issue.
☐ Include the page URL and a description of the problem.
☐ Include screenshots when helpful.
☐ Explain the steps required to reproduce the issue.
☐ Review responses and retest items after corrections are made.
☐ Contact support if you need assistance with setup or branding.
Why separate tickets? Submitting one issue per ticket helps our team assign, track, resolve, and communicate the status of each issue more efficiently.
What Happens Next?
Once your Preview review is complete, Xenegrade will coordinate the final steps toward GoLive. These include confirming any outstanding requirements, completing final testing, and establishing the transition schedule.
Your organization will receive additional instructions regarding the GoLive process and the public URL students will use.
You do not need to complete every optional customization before going live. Our priority is to ensure that your site is properly configured, your students can successfully register, and your payment processing and essential features operate correctly.
Additional branding, content, and feature enhancements can continue after GoLive.
For questions or assistance at any point during Preview, please submit a support ticket through the Xenegrade Help Center.
