When will our organization be migrated to WebReg 3.0?

Xenegrade is building the phased migration schedule and will contact each customer directly before their migration is assigned. Customers can indicate their preference for migration before or after September 1. Customers may provide timing preferences and dates to avoid, but Xenegrade will assign final migration dates based on customer readiness, configuration complexity, support capacity, and overall rollout planning.


Why is Xenegrade using a phased migration schedule?

There are several reasons. Overall, it is important for Xenegrade and you that the process is controlled and intentional. Each customer setup may be different, and Xenegrade wants to allow time for setup and review. Support can be managed more carefully, and each launch can be monitored after go-live.


How many customers will be migrated each week?

Once migrations begin, Xenegrade expects to migrate approximately 5–10 customers per week. That the number may vary based on customer complexity and support needs.


Will our current WebReg site continue working until migration?

Yes. Your current WebReg site will remain in use until your scheduled WebReg 3.0 migration is complete and you have approved the Go Live date.


Will there be downtime during the migration?

Xenegrade will coordinate the migration timing carefully. If any downtime or customer-specific action is expected, we will communicate that before your migration date. If there is any downtime, it would be on the Go Live date and most likely be very short.


Will our students need to create new accounts?

No. The existing database remains the same including student account information will continue to be used. However, students will be required to set a new password the first time they login into WebReg. If any other customer-specific account issue applies, Xenegrade will communicate that before migration.

7/8/26 Update: When your clients reset their password in WebReg 3.0, that new password contains a new security format. The new password format is not supported in WebReg 2, and login into the WebReg 2 module will be restricted as a result. Clients will only be able to register in the WebReg 3.0 after that initial login.


Will our course, program, and registration data be carried over?

Yes. The existing database remains the same including your existing XenDirect course, program, section, and registration information. The migration changes the student-facing registration experience, not the underlying customer database.


Will we be able to preview WebReg 3.0 before launch?

Yes. You will have up to two weeks preview.


What should we review during the preview period?

During the preview period, you should set up your site including layout options, branding, and logo. We also suggest testing course search, course details, cart process, account login/creation, guest purchase (if used), contact information, confirmation messaging, and mobile display.


Who from our organization should review the preview site?

The review should be completed by someone familiar with your registration process, public course listings, payment workflow, and customer-facing WebReg content.


What if we find something that needs to be corrected?

Configuration corrections and migration-related issues should be reported via a support ticket. The support staff can also assist you with your layout and branding efforts.


How long will we have to review the preview site?

Xenegrade is allowing up to two weeks to complete the preview process.

7/8/26 Update: Please note that the preview period is not intended to require your organization to learn an entirely new system. Most of the administrative knowledge your staff already uses will continue to apply because course setup, section information, pricing, dates, capacity, program details, and other registration data are still managed through the XenDirect Admin module. WebReg 3.0 primarily updates the student-facing registration experience with a more modern interface, improved layout, updated branding, and enhanced usability.

During the preview period, the largest adjustment for most organizations will be reviewing how your existing information is presented in the new WebReg 3.0 layout. Your team should focus on confirming that your branding looks correct, your courses and programs display as expected, and the student registration flow is clear. In most cases, this review should feel more like checking the new presentation of your existing setup rather than learning a new administrative system.


What information will Xenegrade request from me?

We primarily want your timing preference, dates to avoid, the primary and backup contact.


What dates should we tell Xenegrade to avoid?

Please identify major registration openings, payment deadlines, catalog release dates, staff vacations, holidays, or any other dates when your organization would prefer not to make a registration system change.


What happens if we do not respond to the migration request?

Customers who do not respond may be scheduled later in the rollout or assigned a migration window based on Xenegrade’s overall schedule and availability.


Can we delay our migration?

Customers may request timing consideration, but migration timing will depend on the overall rollout schedule, customer readiness, and Xenegrade support capacity. It is expected that the migration will be completed for all customers by the end of November.


What if our organization has a major registration period during the proposed migration window?

Please notify Xenegrade as soon as possible. Registration activity and customer blackout dates will be considered when the final schedule is developed.


Will WebReg 3.0 change how students register?

The student-facing experience will be updated, including the look, navigation, and registration flow. The core purpose remains the same: allowing students to search, select, and register for available offerings.


Will Admin users need to do anything differently in XenDirect?

The migration is focused on the student-facing WebReg experience. Any Admin-side changes or new procedures will be communicated separately if they apply.


Will our payment processing change?

Existing payment gateway configurations are expected to continue unless Xenegrade identifies a customer-specific item that needs review. Payment-related workflows will be checked as part of the migration process.


Will pricing, discounts, or fees change because of WebReg 3.0?

WebReg 3.0 does not automatically change your course pricing, discounts, or fees. Any pricing or fee changes are managed separately through your XenDirect configuration or customer policy decisions.


Will confirmation emails change?

Confirmation messaging will display in a more modern format, but the data is the same.


Will waitlists work the same way?

Waitlist behavior will work exactly as it does now.


Will programs, products, bundles, or conferences be affected?

Customers using programs, products, bundles, conferences, workshops, or other specialized workflows should see little or no difference except in the display of the information.


Will our WebReg links change?

Your WebReg URL will most likely not change. The links you would like to display in your header and footer should be added during the preview period. Xenegrade will advise each customer if any website links, course links, QR codes, or bookmarks need to be updated as part of migration.

7/7/26 Correction: Your WebReg URL may change. If you currently have a custom URL for your WebReg, the primary URL address does not change. If your current WebReg URL uses our standard URL format, the URL will change. However, in both cases, URLs directly to specific pages or courses will change.


Will training be available?

Xenegrade will provide migration guidance and support materials. Additional training options may be provided if needed based on customer setup and migration complexity.


Who should we contact with migration questions or issues?

Please contact Xenegrade Support with migration questions unless your migration notice provides a specific contact or ticket reference. Report issues in the same manner you do now via a support ticket. Please include the page, course/section if applicable, steps taken, and a screenshot when helpful.


How should we report an issue after launch?

Follow the same process as you do now.


Will Xenegrade monitor our site after launch?

Yes. Xenegrade will monitor newly migrated customers after launch and will review migration-related issues reported during the post-launch period.


Is WebReg 3.0 more accessible than WebReg 2?

WebReg 3.0 includes significant accessibility-focused improvements, including updated design patterns and user-facing display tools intended to improve usability for a broader range of students. Tools include text size controls, contrast options, focus visibility, reduced motion, and cursor size tools.


Will WebReg 3.0 work better on mobile devices?

WebReg 3.0 is designed to provide an improved modern experience across desktop, tablet, and mobile devices.
