Overview

CountBook allows the user to view immediate updated course offering information such as min/max, hand count, actual count, days of the week course is offered, start date, etc.  CountBook is designed to assist a user to view immediate enrollment and schedule information, especially when on the face-to-face or phone with a customer.  Data cannot be added or edited from the CountBook .

Details 

  • View button in each results list row will display additional information about the Course Section in the same row.
  • Print button in each row will print a Quick Enrollment List for the Course Section in the same row.
  • If a course has a Hand Count or Active Count (from active Assignments), that number is compared to the course maximum set in the Course Section and a determination is made if the course is full or available.  If a course is cancelled, that value will also display.  If a course maximum value is set to zero, a course will display as full no matter how many active Assignment or the Hand Count.
  • The Hand Count and Active Count should always be the same.  If the Hand Count is higher than the Active Count, there are registrations not yet entered.  If the Active Count is higher than the Hand Count, the Hand Count has not been maintained such as if there were a dropped or refunded Assignment not yet made inactive.
  • Even if a Course Section Status may be Full, adding a new enrollment Assignment is not restricted.  However, the user will receive a warning prompt if they attempt to add a new enrollment Assignment for a course that is full.
  • If a Course Section has any Assignments with a waitlisted status, the Countbook status will display as Waitlist.
  • Enrolled Count includes Assignments with a status of "Enrolled/Active" or "Enrolled/Hold".
  • Completed Count includes Assignments with any status of "Completed" only.
  • Did Not Complete Count includes Assignments with any status of "Did Not Complete" only.
  • Waiting Count includes Assignments with a status of "Applicant/Waitlist" only.
  • Applicant Count includes Assignments with a status of "Applicant" only but excludes "Accepted/Waitlist".
  • Total Count includes all Assignments.

Hand Counts

The Hand Count is an optional and manual feature used to track the number of enrollments by hand rather than only using the actual count of Assignments (registrations).  If the organization accepts registrations in such numbers and time frame that determining when a course is full may be difficult, using the Hand Count method to track enrollment counts may assist in keeping an accurate count.  The Hand Count maintains a single numeric count of registered clients for the respective Course Section.  Changing the Hand Count can affect the value of the Status column.  Hand counts do not automatically decrease or increase when Assignment status values are changed.

  • To Increase the Hand Count:  Click the "+" sign in the Hand Count column for the row desired.
  • To Decrease the Hand Count:  Click the "-" sign in the Hand Count column for the row desired.
  • To Edit the Hand Count:  Click the Hand Count field for the row desired.
