Enrollment Status

Enrollment Status values are used to track the status of enrollment in Client Assignment records. These values cannot be deleted or added, but users can modify display settings to control which statuses are visible. This document outlines the key functionalities, settings, and usage of Enrollment Status values within the system.

Overview

  • Enrollment Status values provide general classifications for tracking client enrollments.
  • These statuses are flexible, allowing organizations to define their interpretations.<
  • Certain system-defined statuses have specific functionalities that cannot be disabled.

Key Features and Settings

  1. Display in Admin
    • Uncheck this field to prevent the Enrollment Status from appearing in the Admin Module.
  2. Allow Evaluation (Plus and Enterprise versions)
    • Determines which Enrollment Status values can submit an online evaluation.
  3. Include in Payroll Calculations
    • Defines which statuses are included when calculating payroll in the following areas:
      • Payroll calculations when the Pay Method = By Student.
      • Auto Expense calculations for Payroll Expenses and Other Expenses when the Expense Method = By Student.
  4. Allow Prerequisite
    • Enables the Enrollment Status to be recognized as a "completed" value for prerequisites.
  5. Credit Status
    • Determines how Enrollment Status affects transcripts and credit reports:<
      • Declined, Earned, or Pending: Credits appear under the respective column on the transcript.
      • Ignored: Credits do not display in transcript reports.
    • This setting is specifically used for InSight reporting.
  6. Special Enrollment Status Notes
    • Enrolled/Active: This status cannot be disabled.
    • Enrolled/OnHold: Counts as an active enrollment but is designated for special internal purposes.
    • Applicant/Waiting List: Identifies clients who are waiting for an available spot.
    • Aggregate/Company: Used for bulk corporate enrollments where the assignment should not contribute to the overall enrollment count.
  7. Replace Status Function
    • Allows users to replace all instances of a specific Enrollment Status with another.
    • This function is irreversible once executed.
    • To disable an Enrollment Status currently in use, first replace all instances of it with another status.
  8. Search Parameters
    • Active Statuses: Enrollment Status values beginning with "E".
    • Inactive Statuses: Enrollment Status values beginning with "C" or "D".
