Overview

Allows user to filter, view, and edit the list of Client Assignments for the Course Section.  The records include the same contents as records at Client Registration Assignments, only filtered by Course Section.

Details 

  • The Results List opens by default to list of "Enrolled/Active" Assignments.  If there are no "Enrolled/Active" Assignments, the list will be empty.  Change the filter using the status drop down option to change the results list to a different Enrollment Status value.
  • The Balance Due option in the Go To select will display a list of all Balances Due for the client.

Multi-Assignment Add

This function allows a user to assign multiple clients to the course section in one process.

  • The Add button only displays if the user has system permission to add assignments and the site’s payment method is set to Course, InvoiceB, or InvoiceC.
  • Up to 10 client assignments can be added using this process.  However, if less than 10 slots are available, the number of clients will only be up to the slots available.
  • If the course section is full, has waitlisted assignments or utilizes vari-fees, the function cannot be used to add assignments.
  • The Enrollment Status will always be added as Enrolled/Active.
  • The Assignment Start and End Dates will be added matching the Course Section start and end dates.
  • The client records must exist before using this function.  New clients cannot be added using this function.
  • If a client has an active block, the user will be prompted to remove them from the submit list.
  • If enabled, prerequisites are enforced and may prevent clients from being submitted.  In this case, the user is prompted to remove the client from the submit list.
  • For Payment Method = Courses, an Auto Add Billing record option displays.  If Yes, a Bill transaction will be added for every assignment added.  If No, then no billing record is added and the Assignment record is added only.
  • For Payment Method = InvoiceB and InvoiceC, the same auto create or modify invoices will occur as if the assignment was added from the Client Assignment screen.
  • Company:  If selected, the Company will be tagged as the Payer in Bill transaction (Course method) or in the invoice (InvoiceB and InvoiceC methods).
  • Purchase Order:  If selected, the PO Number will record with the Bill transaction (Course method) or in the invoice (InvoiceB and InvoiceC methods).
  • Registered By and How Heard:  If selected, will add values to the corresponding field in the Assignment when inserted.
  • This function does not record automatic RegFees or reduce automatic OnHold registrations.  Use the Client Assignment registration process if either of these features are utilized.

Insert Company

This function button will display next to the Add button when a user has the ability to add new Assignments from the Course Section Enrollment tab.  This function will insert the Company from the Client record into all matching Assignment records where the Assignment Company field is currently blank.  If the preference is not to bulk update the Company field for all Assignments, do not use this function.  Instead, edit the Assignment records individually and add the Company manually.
