Add Assignments and Payments

XenDirect allows you to add as many assignments (registrations) to a client as necessary. Once an assignment record is corrected, you can immediately record the payment without leaving the Assignment section. 

 


Assignments and Payments for Existing Clients

 

Existing Clients - New Assignment

  • From the Main Menu, Go to Clients > Client Info

  • Enter the search criteria to locate the client.

  • Once the client appears in the results list, you can:

    • use the quick select list in the row to go to Assignments

    • view the client's record and click AddAssignment button

    • view the client's record, click the Registration tab, click New Assignment

  • Enter the course code of the client's new assignment or use the Show List button and select the course code.

  • Click the Info tab and review and change information as appropriate.

  • Click the Other tab and review and change information as appropriate.

  • Click OK to save and close.

Existing Clients - New Payment

  • After saving and closing the assignment record, click the "$" in the same row as the new assignment record.

  • The course code will automatically be entered for you.

  • Click the Transaction Tab and complete the necessary information.

  • Click the Payer/Billing Tab if necessary and complete the information.

  • Click OK to save and close.

 


Assignments and Payments for New Clients

 

New Clients - New Assignment

  • From the Main Menu, Go to Clients > Client Info

  • Click the New button and enter all the necessary client information on the Info, Address/Phone, Demographics, Income Status, Intake/Exit, and Other tabs as necessary for your organization. Click OK to save and close.

  • The Client View screen appears and now you can:

    • click AddAssignment button

    • click the Registration tab, click New Assignment

  • Enter the course code of the client's new assignment or use the Show List button and select the course code.

  • Click the Info tab and review and change information as appropriate.

  • Click the Other tab and review and change information as appropriate.

  • Click OK to save and close.

New Clients - New Payment

  • After saving and closing the assignment record, click the "$" in the same row as the new assignment record.

  • The course code will automatically be entered for you.

  • Click the Transaction Tab and complete the necessary information.

  • Click the Payer/Billing Tab if necessary and complete the information.

  • Click OK to save and close.

 


Enabling a Previously Dropped Assignment

 

If a client re-enrolls into an assignment that was previously dropped, the client cannot be enrolled into the same course section a second time.  Instead, the original Assignment must be modified to allow for re-enrollment.

  • From the Main Menu, Go to Clients > Client Info

  • Enter the search criteria to locate the client.

  • View the client record, click the Registration tab and lcoate the existing Assignment.
  •  

    Edit the Assignment and modify the Enrollment Status to an active status.
  • If the Zero Balance Due was previously checked and a balance is now due, uncheck the Zero Balance Due field.
  • Add any other pertinent information as desired.
  • Click OK to save and close.

  • Add payments and other data as necessary.
