Add Assignments and Payments

XenDirect allows users to add multiple assignments (registrations) to a client as needed. Once an assignment is created or modified, payments can be recorded immediately without leaving the Assignment section. This guide outlines the steps for managing assignments and payments for existing clients, including re-enrolling clients into previously dropped assignments.


Assignments and Payments for Existing Clients

Adding a New Assignment for an Existing Client

  1. Navigate to Client Info:
    • From the Main Menu, go to Clients > Client Info.
  2. Search for the Client:
    • Enter the search criteria to locate the client.
  3. Access Assignments:
    • From the Results List, either:
      • Use the [More Actions] menu in the client’s row and select Assignments, OR
      • Open the Client’s Record, go to the Assignments tab, and click Add Assignment.
  4. Complete the Assignment Process:

Adding a Payment for an Existing Client

  1. After saving and closing the assignment record:
    • Navigate to the client’s Payments tab.
  2. Add a Payment:
    • Click [Add Multiple].
  3. Follow the Full Payment Instructions:

Re-Enrolling a Previously Dropped Assignment

If a client re-enrolls in an assignment that was previously dropped, they cannot be enrolled in the same course section again. Instead, the original assignment must be modified to allow re-enrollment.

Reactivating a Dropped Assignment

  1. Navigate to Client Info:
    • From the Main Menu, go to Clients > Client Info.
  2. Search for the Client:
    • Enter the search criteria to locate the client.
  3. Locate the Dropped Assignment:
    • Open the Client’s Record, go to the Assignments tab, and find the existing dropped assignment.
  4. Modify the Assignment:
    • Click Edit and update the Enrollment Status to an active status.
    • Add any other relevant information.
  5. Save Changes:
    • Click Save to update the assignment.
  6. Adjust Financial Records:
    • Modify the invoice to reflect any balance due.
    • Add payments or other required data.
