Skills Profile

This article provides guidance on creating, editing, and managing client Skills Profiles. The Skills Profile section allows users to rank client skills up to five times using a user-defined ranking scale, ensuring consistent tracking and assessment.

Overview

The Skills Profile section enables users to:

  • Create up to three different Skill Sets per client per Assignment.
  • Rank skills based on a predefined scale.
  • Manage and edit Skills Profiles for individual clients or groups of clients.

Important Notes:

  • A master Skills Profile must exist for the Course Section matching the Assignment. This is created and managed from the Skills Profile tab in the Course Section's view mode.
  • The Delete function removes an entire Skills Profile.

Adding a New Client Skills Profile

  1. Navigate to Main Menu → Clients → Skills Profile.
  2. Click Add New.
  3. Enter a Course Code or Activity Type (one is required).
  4. Select a Skill Set (required).
  5. (Optional) Enter a Client ID to add the Skills Profile for a specific client. Leave this field blank to add the Skills Profile for all active clients with an enrollment status of Enrolled/Active.
  6. Click OK to save or Cancel to exit without adding new profiles.

Notes:

  • If the Add New function is run for a Skills Profile that already exists, the profile will not be duplicated. However, the system will:
    • Check for any new skills added to the Course Section.
    • Identify any active clients without an existing profile.
    • Existing profiles and rankings remain unchanged.

Editing an Existing Client Skills Profile

  1. Navigate to Main Menu → Clients → Skills Profile.
  2. Search for the desired Skills Profile (by client or course).
  3. Click Edit Profile in the row matching the desired profile.
  4. The Edit Profile window will open, displaying all skills and ranking fields in category order.
  5. Edit rankings and add final comments as needed.
  6. Tag the Approved fields as Yes to indicate completion of the ranking for the respective period.
  7. Click OK to save changes or Cancel to exit without saving.

Notes:

  • Ranking columns display only for periods identified in the Course Section, up to a maximum of five.
  • The Comments field is included in reports regardless of the status of the Approved fields.

Key Notes

  • Ensure that a master Skills Profile exists for the Course Section before creating or editing client profiles.
  • Use the Add New function to efficiently create profiles for all active clients in a course or assignment.
  • When editing profiles, verify that rankings and comments are accurate, as they will appear in reports.
