Companies - Profile

Company records are used throughout XenDirect. Any select list that refers to a company name is derived from this user-defined list.

Overview

Company records are Branch Shared. The same records are shared across all branches in a multi-branch setup. Here is a list of all the locations Company records are used. Unless noted, the feature is available in all XenDirect versions.

Client Mailing Company The company name is part of the work mailing address.
Client Employer The client's employer.
Client Application
Company Referral The company that made the client referral. Enterprise only.
Client Employment
Employer The employer company. Enterprise only.
Client Enployment Verification
Employer The employer company. Enterprise only.
Client Higher Ed
Higher Education Name
Name of the higher education institution. Enterprise only.
Client Invoice
Company The company assigned to pay the invoice.
Client Referral
Referral Referral company. Enterprise only.
Course Schedule Funding
Company
Funding organization. Enterprise and Plus only.
Funding Sources
Company Funding organization. Enterprise and Plus only.
General Ledger
Company Payments the company paid. 
Expenses are vendor company.
Job Openings
Company Employer. Enterprise only.
Message Log
Company
Company message sent to.
Company Documents Company
Company documents are linked to.
Company Log
Company Company the log record is for.

Textbooks Company The vendor company.

Details

  • The company name field cannot be duplicated in more than one record and is a required field.  Note that an apostrophe cannot be used in the Company Name field for programming reasons.
  • Name Prefix list is a user-defined list.
  • Company Type is user-defined list and is a required field.  Examples include company. sponsor, vendor, textbook vendor, employer, board member, etc.  Company and Employer are used elsewhere in XenDirect as reserved types.  It is suggested not to change the spelling of these two types.
  • Billing address is used on Client payment transactions if not entered on the transaction. Billing address is used on Client Invoices.  Upon saving a Company record, if the Billing Address is not entered, the mailing address will copy into the billing address.  The Same as Mailing could also be used to update the billing address.
  • Bill to Attention of:  If a value is entered into this field, the address on the Invoice report will use this value.  Otherwise, the Invoice report address will use the contact's first and last name.
  • Stop/Hold field is used to flag special client registration matters.  Any text entered here will appear in a pop-up prompt when a new Client Registration Payment is tagged to the respective Company.
  • NAIC Code: See Business Codes.
  • Individual Clients Tab:  List of Clients tagged as Individual Clients and where the Company/Employer field contains the matching Company Name.
  • Corporate Clients Tab:  List of Clients tagged as Corporate Clients and where the Company/Employer field contains the matching Company Name.
  • Donations Tab:  List of donations the current Company has made to the organization and the value of the donations.  (Enterprise and Plus only).
  • Company Notes Tab:  Log of dates and information when in contact with the current Company has been made.
  • Deleted Companies:  This function navigates users to a section where Company records that have been deleted are recorded for informational purposes only.  This feature was added 4/1/13, so only deleted companies on and after that date will display here.
