Overview

Prints raw data for the multi-page NRS report.

 


NRS Contact Hours

Lists the Client enrollment and hours per Instructional Type and Program Type as exported for the NRS Report. 

  • Only courses tagged as Basic Ed or ESOL Instructional Types are included. 

  • Only clients meeting the core eligibility display in this report.

  • Report Fields:

    • Client:  From Client table.  This field is displayed for reporting purposes but does not export.

    • Client ID From Client table.

    • Enrollment Date Overall earliest attendance date for program year from Client Attendance table only for Basic Ed and ESOL courses.

    • Instructional Type From the Type Code field in the Activity Type Course Activity Types table as identified in the Course record.  Basic Ed includes codes BE, BEES, BN, GE, H, and MA.  ESOL includes codes EB and ES.  Other Type Codes are not considered basic Ed or ESOL.

    • Program Type From the checkbox fields on the Other tab of the Course Schedule table.  Clients assigned to courses are tagged upon export if the course schedule is checked for the respective program type.

    • Hours Sum of hours from the Client Attendance table only between the Reporting Dates reporting option.


NRS Enrollment

Lists the Client enrollment and hours per Course Code as exported for the NRS Report. 

  • Only courses tagged as Basic Ed or ESOL Instructional Types are included. 

  • Only clients meeting the core eligibility display in this report.


NRS Evaluation

Prints an evaluation report of actual NRS data in comparison to the Evaluation Settings (Admin menu > NRS Functions). 

  • This report is provided for estimating purposes and does not represent the actual evaluation and/or report card provided by the agency evaluating NRS performance.

  • The Educational Gain and Follow-up Measures sections on the bottom of the report require accurate quartile settings to provide the most accurate quartile ranking and score.  Because actual quartiles are not determined until after the NRS reports are submitted, the user should set quartiles to the previous year's values for the best estimate possible.

  • Scores are determined as noted in the latest version of the Assessment Rubric for Agency Report Cards and other NRS and Third Wave information as provided to Xenegrade by NYSED or its representatives.  Xenegrade is not responsible for incorrect data submitted by NYSED or outdated data because NYSED has not disseminated data to Xenegrade in a timely manner.

  • The data for the NRS Evaluation report is calculated when the NRS Recalculation function is successfully completed.


NRS Exported Data

Prints an exact copy of the data values as they are being exported.. 

  • This report displays the data as last recalculated.


NRS Goals/Outcomes

Lists the Client goals and outcomes (achievements) as exported for the NRS Report.

  • Only clients meeting the core eligibility display in this report.

  • Client Goal/Achievement records with a Met Date or Survey Date prior to the first date of the program year (Branch table) do export into the export tables during an NRS Recalculation.  If both the Met Date and Survey Date are blank, the Goal will export.  If the Goal/Achievement should export because it can be claimed as a prior year unreported goal/achievement, enter a date into the End Date field of the Client Achievement/Goal record.  Make sure the End Date is within the program year start and end dates for the year you are reporting the outcome, not the program year in which the outcome was met AND that the Program Year field is entered for the correct year (enter only 4 digits such as 2005).

  • Report Options:

    • Data Audit Filter Filter report for specific missing or incorrect data.

      • Missing Achievements - records without an achievement.

      • Missing Date Met - records with achievement but no date met.

      • Missing Survey Date - records missing a survey date.

      • Wrong Achievement - records with achievement but the achievement is not correct for the goal listed.

      • Wrong Program Year - records with program year field not in a 'YYYY' format.  Should be entered as only as a four digit year such as 2007.

  • Report Fields

    • Client From Client table.  This field is displayed for reporting purposes but does not export.

    • Client ID From Client table.

    • Exit Date Overall last attendance date for program year from Client Attendance table if:

      • Client has no attendance for 90 days or more in any BE or ESOL course prior to the end of the reporting period, OR

      • Client is no longer active in any BE or ESOL course

    • Goal From the Client Outcomes/Achievements table.  Only NRS goals are listed.

    • Date Set From the Client Outcomes/Achievements table.

    • Achievement From the Client Outcomes/Achievements table. Should be entered as only as a four digit year such as 2005.

    • Date Met From the Client Outcomes/Achievements table.

    • Date Survey From the Client Outcomes/Achievements table.

    • Year From the Client Outcomes/Achievements table.


NRS Instructional

Lists the Instructional Offerings data as exported for the NRS Report. 

  • Only courses tagged as Offered and Offered/canceled display in this report.

  • Data will only appear in this report AFTER the NRS Recalculation Function has been successfully run.

  • Instructional Offerings report contains all courses offered at your organization, not just Basic Ed and ESOL courses.  Count fields in this report include NRS and non-NRS clients.

  • Score ranges are required to correctly calculate the number of students with gain for the NRS Instruction export table.

  • Report Fields:

    • Course Code From Course and Course Schedule tables.

    • Staff Staff Code from Staff table.

    • Type From the Type Code field in the Activity Type Course Activity Types table as identified in the Course record.

    • Format From the Format field in Course table.

    • Enrollment # Sum of enrollments from Client Assignment table.

    • Exit # Sum of exited clients from Client Assignment and Client Attendance table.

      • Client has no attendance for 90 days or more in any BE or ESOL course prior to the end of the reporting period, OR

      • Client is no longer active in any BE or ESOL course

    • Gain # From Client Testing, sum of clients who completed at least one NRS level.

    • Post # From Client Testing, sum of clients with a post-test.

    • Offering Level From Offering NRS Level field on Other tab of Course Schedule table.

    • Minimum Level From Lowest NRS Level field on Other tab of Course Schedule table.

    • CAI From Computer Assisted Instruction field on Other tab of Course Schedule table.

    • Start Date From Start Date in Course Schedule table.

    • End Date From End Date in Course Schedule table.

    • Site From Facility table as linked to the Room field in the Course Schedule table.

    • Mon, Tue, Wed, Thu, Fri, Sat, Sun From Days of Week field in Course Schedule table.

    • Hours Per Week From a calculation of the Days of Week field and Contact Hours Per Day field in Course Schedule table.

    • Hours Per Day From the Contact Hours Per Day field in Course Schedule table.

    • Time From the Start Time field in Course Schedule table. M = before noon, E = noon and after.

    • Program From the Program Code field in the Activity Type Course Activity Types table as identified in the Course record.

    • Projected Enrollment From the Target Enrollment field in Course Schedule table.

    • Projected Instructional Hours From the Total Scheduled Hours field in Course Schedule table.

    • Projected Contact Hours From the Target Hours field in Course Schedule table.

    • Actual Instructional Hours From the Total Scheduled Hours field in Course Schedule table.

    • Actual Contact Hours Sum of contact hours from Client Attendance table.

    • Highest Level From Client Testing, highest NRS level as defined by the pre-test score for clients assigned to the course.

    • Lowest Level From Client Testing, lowest NRS level as defined by the pre-test score for clients assigned to the course.


Non-NRS Student

Lists the Clients in the database NOT in the most recent NRS export calculation.

 


NRS Staff

Lists the Staff data as exported for the NRS Report. 

  • Only staff tagged as Active display in this report.

  • Report Fields:

    • Staff name From Staff table.  This field is displayed for reporting purposes but does not export.

    • Staff Code From Staff table.

    • Function From Function Code field in Job Titles table as linked to Job Title in Staff table.

    • Full-Time From Current Status field in Staff table.  F = full-time, P = part-time.  Defaults to "P" when not identified.

    • Paid/Volunteer From Volunteer field in Staff table.  V = volunteer, P = paid employee.

    • Hire Date From Hire Date field in Staff table.  If Hire Date is blank, defaults to Start Date.  If Start Date is blank, export field is blank.

    • Position From Position Code field in Job Titles table as linked to Job Title in Staff table.

    • Experience From Years of Experience field from Staff table.  E >= 1 year, I < 1 year.  Export field is blank if no years are identified.

    • Sex From Gender field in Staff table.

    • Ethnicity From Ethnic field in Staff table.

    • Subject From Program Type Code field in Course Activity Types table as linked to the Course Schedules assigned to the staff member.

    • Education Level From Education Level field in Staff table.  Export field defaults to "F" when blank.

    • Staff Development Hours Sum of hours for the Staff member as listed in the Staff Development table.
