Policies

Policies are user-defined settings that manage Cancellation and Refund Policies for Course Sections. These policies can be enabled independently or together, affecting how refund and cancellation information is displayed in the Admin Module and WebReg Module.

Overview

  • Policies ensure consistency in cancellation and refund handling for Course Sections.
  • Organizations can choose to enforce these policies using the Branch Profile settings.

Enabling Policies

To enable Cancellation and Refund Policies, update the settings under:
Branch Profile → Preferences:

  • Require Section Cancellation Policy → If Yes, every Course Section must have a Cancellation Policy.
  • Require Section Refund Policy → If Yes, every Course Section must have a Refund Policy.

Effects of Enabled Policies

If a Course Section has a valid policy:

  • The generic Refund Policy in Branch Profile > Preferences is disabled and replaced with this policy.
  • The generic Refund Policy no longer appears in the WebReg automatic confirmation email footer.
  • The Course Section Refund Policy displays in the WebReg automatic confirmation email.
  • The Course Section Alternate Refund Policy is ignored.

If a Course Section does not have a valid policy:

  • The generic Refund Policy no longer appears in the WebReg automatic confirmation email footer.
  • The generic Refund Policy is displayed with the course detail in the WebReg automatic confirmation email.
  • The Course Section Alternate Refund Policy is ignored.

Areas Affected

The policy settings impact the following areas:

  • Admin Module → Email receipt
  • WebReg Module → Email confirmation
  • WebReg Module → Checkout complete page (via popup option)

Field Details

  • Name: Unique name for the policy (Required).
  • Type: Specify whether the policy is a Cancellation or Refund policy.
  • Status: Select Active or Inactive (Inactive policies remain visible in dropdown lists).
  • Policy Text: The full policy text as displayed to clients (Supports HTML formatting).
