How to Copy a ProTrain Offering Into XenDirect

If your organization already has an active account with ProTrain and some existing courses and sections are ProTrain course offerings, follow the steps above to tag the existing XenDirect course and section to the ProTrain course offering. Note: If the course and section are already being offered in your XenDirect courses and sections, and are not tagged as ProTrain, this process will duplicate them. Always be sure to tag existing ProTrain courses and sections before using the copy function.

Release 3

  • Go to Tools > Course Functions > Manage ProTrain. If the menu option does not display, contact your system administrator to enable permission for this menu option.
  • Search as desired to display currently available course offerings.
  • Click on the copy button in the course row to view the course details.
  • Once clicked, the popup window will prompt you for additional information before saving the course and section.
  • The Course ID will display the ProTrain course codes by default. Those values can be changed to any course ID desired as long as they are not in use. If you change the course ID, the course will still be tagged as ProTrain by the alternate code and vendor fields.
  • Each section must have a unique Section ID.
  • The Primary Fee field defaults the display to the retail price suggested by ProTrain. You can modify this fee to a different amount. The fee should not however be less than the cost of the purchase fee from ProTrain.  Consult with ProTrain prior to altering prices.
  • Enter all other required fields and any desired non-required fields.
    • Staff is required.  It is recommended to create a generic staff record for this purpose.
    • Location is required.  It is recommended to create a generic "online" location record for this purpose.
    • Revenue Item is required. This value will be the [Revenue Item] linked to the fee.
    • Vendor Cost is required, even if zero. This value will record as the [Other Expense Rate] and [Wholesale Price] in the Course Section.
  • Click Next to review your selections.
  • Click Back to modify your selections or click Submit to copy the ProTrain into your course offerings.
  • The course section will be saved with all the correct settings to be offered and available for purchase via the WebReg module.

Release 2

  • Go to Admin Menu > Course Functions > Manage ProTrain. If the menu option does not display, contact your system administrator to enable permission for this menu option.
  • Search as desired to display currently available course offerings.
  • Click on the view button in the course row to view the course details.
  • If a section is already offered, the far right column will display “Section Offered” meaning the course section is already in your offerings.  However, it is possible to offer the course in more than one section if you desire to tag them with different Sessions and/or dates.  Each section must have a unique Section ID.  We suggest adding a "-" dash to the start of your Section IDs in this case to help separate the Course ID from the Section ID for easy reference.
  • If a section is not currently in your offerings, click the Copy Section button in the row desired. If the Copy Section button is not displayed, ProTrain has not been enabled, and the ProTrain courses are view only.
  • Once clicked, the popup window will prompt you for additional information before saving the course and section.
