Overview of Courses
In XenDirect, the terms Courses, Classes, and Programs are often used interchangeably to represent the activities that students register for and attend. For the purposes of this system, Course is the primary term used.
A Course consists of two main elements:
- Course Info: This includes details like course title and description that remain consistent throughout the program year or session.
- Section Info: This refers to data that changes per event, such as start date, location, instructor, and days of the week.
Note: In the Enterprise version, the same structure serves as the shell for Conferences. In the Enterprise and Plus versions, the same structure serves as the shell for Products, Prepaids, Memberships, and Donations.
Course Structure
Both the Course and the Section have unique IDs, which together create the Course Code. For example:
- Course ID: "AUTO" for Auto Chassis
- Section IDs: "101", "102", "103"
- Full Course Codes: "AUTO101", "AUTO102", "AUTO103"
This structure minimizes data entry for multiple sections of the same course and enhances flexibility in searching and reporting.
Adding a New Course and Section
To Add a New Course:
- Navigate to the Main Menu and select Courses.
- Click the New Course button.
To Add a New Section from within the Course:
- Click the View button for the course.
- Select the Sections tab.
- Click the New Section button.
Course Fields Based on Product Type
Below are the key fields you’ll encounter when adding or editing a course.
- Course ID: Required, unique, and can include up to 15 alphanumeric characters. Special characters (like !, @, #) are not allowed.
- Course Category: A user-defined field for categorizing courses.
- EPE Type: New York State-specific, not user-defined. Can be ignored if not applicable.
- Taxonomy: User-defined categorization.
- Course Activity Type: Another user-defined field.
- Course Format: Categorizes the course (not user-defined).
- Service Type: Non-user-defined, often used for workforce courses (e.g., WIA).
- Required: Indicates if the course is required or elective (not user-defined).
- Certificate Title: Alternate title for the course, used on certificates if provided. If blank, the regular course title is used.
- Alt Course Code: Used for cross-referencing courses from third-party vendors, like Ed2Go.
- Vendor: If the course is from a third-party vendor, select the vendor’s name.
- CIP Code: Classification of Instructional Programs (user-defined).
- SOC Code: Standard Occupational Classification (user-defined).
- O*Net Code: Occupational Information Network job code (user-defined).
- DOT Code: Dictionary of Occupational Titles job code (user-defined).
- OES Code: Occupational Employment Statistics job code (user-defined).
- Course Image: Upload a high-quality JPG image (72 dpi, size not exceeding 270px × 270px).
- Degree Type: User-defined field specifying the type of degree awarded.
- Full-Time Schedule: Describes the course’s full-time schedule.
- Non-Traditional Gender: Indicates if the course is considered non-traditional based on gender, possibly requiring Department of Labor criteria.
