Overview

Courses, classes, and programs are various terms used by educational organizations to identify the activities that students register for and attend.  In this case, XenDirect will utilize the term Course for this purpose.  A complete detailed Course is made up of two elements - Course Info and Section Info.  Course Info includes the primary information that does not typically change over a program year or session such as course title or description.  The second element, the Section, contains the data elements that change from event to event such as start date, location, instructor, days of the week.

Note that Courses are also the basis for Conferences (Enterprise version) and Products (Enterprise and Plus versions).  The Course table is the overall parent record for all course sections, conferences, gift certificates, and products.

Both the Course and the Section have their own ID code, when combined become the full Course Code.  For example: An Auto Chassis course has a Course ID of "AUTO" and has three sections with IDs of "101", "102", and "103".  The full Course Code would be "AUTO101", "AUTO102" and "AUTO103" respectively.  This Course design reduces data entry for multiple offerings or sections of the same course and allows for more flexible search options when filtering data for reports.

To Add a New Course:  Click on the New button in the Toolbar
To Add a New Section:  Click the View button for the Course, click the Sections Tab, and click the New Section button.

When adding a new Course, the first tab will require the user to select the Product Type.  Select from Course, Conference (Enterprise only), Gift Certificate, Membership (Enterprise and Plus versions only) or Product (Enterprise and Plus versions only).  This selection affects how the record is displayed in both the Admin Module and the WebReg module as well as what fields will display in the Course and Course Section pages.  Once saved, the Product Type cannot be changed to a different type.

The following fields are based on the Course Product Type.

  • Course ID field cannot be duplicated in more than one record and is a required field.  Can include up to 15 alpha and numeric characters.  Only alpha, numeric, the asterisk, the dash, and the underline characters can be used. Spaces and special characters (such as !, @, #, $, %, ^, &, *) are not allowed.  Note that use of the asterisk character and question mark character can adversely affect searches as an inappropriate use as a wild card character.
  • Course Category:  One of several user-defined categorization fields.
  • EPE Type:  A New York State utilized field only. The list is not user defined.  If the organization does not utilize, this field can be ignored.
  • Taxonomy:   One of several user-defined categorization fields.
  • Course Activity Type:  One of several user-defined categorization fields.
  • Course Format:  One of several categorizing fields but is not user defined.
  • Course/Conference:  Identifies if the record is a Course or a Conference.  Only Enterprise version includes the Conference option.
  • Service Type:  One of several categorizing fields but is not user defined.  Is often used as values for WIA, an acronym for Workforce Investment Act and often symbolizes workforce and training courses.
  • Required:  Identifies if the course is a required or elective.  Not user defined.
  • Certificate Title:  An alternate title for the course as it will appear on printed certificates.  If blank, normal Course Title field is used.
  • Alt Course Code:  This field is used as a cross reference for courses related to those from another source or vendor.  For some online, third-party vendors like Ed2Go, this field is required to match to the Ed2Gocourse.  Otherwise, the field is optional.

  • Vendor:  If the Course is a purchased event from a third party vendor, select the Vendor’s name from the list.  This field is not a user defined field.
  • CIP Code:  One of several user-defined categorization fields.  CIP Code is an acronym for Classifications of Instructional Programs job title code. See Main Menu >> Selects >> Business Codes.
  • SOC Code:  One of several user-defined categorization fields.  An acronym for Standard Occupational Classification System job title code.
  • O*Net Code:  One of several user-defined categorization fields.  An acronym for the Occupational Information Network job title code.
  • DOT Code:  One of several user-defined categorization fields.  An acronym for the Dictionary of Occupational Titles job title code.
  • OES Code:  One of several user-defined categorization fields.  An acronym for the Occupational Employment Statistics job title code.
  • Course Image:  If uploaded, the image will display on the Course Detail page of the Web Registration module.  Upload images should be a high quality JPG file of 72 dpi.  Size is not recommended to be larger than 270 px × 270 px.
  • Degree Type:  Type of degree if a successful completer.  List is user defined.
  • Full-Time Schedule: Describe what makes this course considered as Full-Time.
  • Non-Traditional Male and Female:  Is course considered Non-Traditional based on gender.  May require Department of Labor criteria.
