Overview

Exports data from a select list of data fields. 

To Export Data

  • Select the export function from the available menu options.  The export fields vary per menu option.
  • Enter any search field options desired.
  • Click the Export button.  A popup window will appear.
  • Highlight the fields to export.  By default, all fields are highlighted.
  • Choose from one of the three export formats.
  • Click the Export button.
  • From the Download window, click the Save button.
  • Choose the location and enter a filename.
  • Click the Save button to complete the process.

Details

  • When exporting the ZIP Code field to an Excel format, the ZIP Code field will export as a number and drop the leading zero.  Format the column or cells using Format> Cells - Special, Zip Code.  If the leading zeros existed in the incoming data, they will appear.  Otherwise, they will be added.
  • Saving an export using the Comma Delimited Text File format will place "" around each value.  To save as a CSV file without the "", first save the export as an Excel file.  Then open the exported file in Excel and use the Excel File »» Save As menu option to save as a CSV file.
  • Enforce Permitted Marketing Method:  Select the option from the list to restrict the search results to only those clients that have given permission to use the method selected.  Leaving this field blank does not restrict records based on the Permitted Marketing Methods field in the client’s record.

Menu Options

  • Banner: This menu option allows custom Banner export functions to be rerun for previous dates.
  • Client Classifications:  Exports all client classifications, client ID, last name, first name, home phone, mobile phone, address, email and birth date.  This export is styled differently than the other export functions as it is predesigned to export as a CSV file.  The Classification Notes field populates into a column consisting of the classification.
    • Important Note: Be sure that Classifications do not contain a comma.  Classification names that contain a comma will incorrectly create an extra column and create misalignment with the data.
    • When trying to obtain output for this report for a large group of records, be aware that the number of Classifications in your system directly affects the amount of time it takes to complete. If the output takes more than 30 minutes to complete, it will time out. In this case, change your filter to reduce the size of the output.
  • Client Contact Data:  Exports name and address fields.Course Data:  Exports basic course and section fields.
    • Resident:  Compares value to the Resident field in the address section of the Client Info.
  • Course Data:  Exports course and section data.
    • Description Field:  A Text and HTML version of the description can be exported.  The Text version has HTML stripped from the field before exporting.  Both options remove carriage return, line feed, and tab formatting to allow proper exporting.
  • Invoice Data:  Exports client invoice data with some related client and registration fields.
  • Progress Data:  Exports client and grading information from Client Progress records.  (Enterprise only)
    • AvgGrade Field:  The average calculation includes grades that are numeric only and ignores grades that contain non-numeric characters.
    • Counselor Field:  Pulls counselor name from School Contact table when linked to Client Residency and job title is either "School Counselor" or "Director of Counseling".
  • Registration Data:  Exports client and registration fields.  Can also be used for the LERN® Promotional, Market Segments, Generational and Carrier Route Analysis.
  • Transaction Data:  Exports transaction data with some related client and registration fields.
    • Gateway Processed: Displays if the transaction was processed using an electronic payment gateway.
    • Module: Displays the module the transaction was entered using, Admin module or WebReg module.
  • Custom Exports:  Organization custom exports options may be available.
