Preview a Report

To preview an InSight report

  • Go to InSight Menu > Reports.
  • Go to the Reports tab.
  • Locate the report desired.
  • Two methods to preview a report:
    • Click the Report Title.
    • Click the [+] button to the far right in the same row and click the [Open] button.
    • The Report Info portion displays various report details.  Version represents the number of edits the report design has been modified since the original build.
  • The InSight menu will disappear and the report viewer will open with the report in page-width view.

Tools and Functions

The following tools and buttons display when in preview mode.  Buttons display based on InSight license level.  Not all buttons will display for all users.

  • Subscribe: This feature schedules a report to be sent to the user on a set schedule..
  • Print: This feature prints the report in an HTML format.  Report headers, footers, and report paging features do not display using this print method.  The option is available because it is the fastest print method, and may be useful at times for some reports.  To print a report with full headers, footers, and paging, use the Export >> PDF method.
  • Email: This feature allows the user to send the current report via email.
  • Export: This feature allows the report to be exported in various formats.
    • Word:  Exports the report to an editable Word document.  The conversion process attempts to make the visual formatting as close to the original as possible but may vary.
    • Excel:  Exports the report to an editable Excel spreadsheet.  The various parts of the report will display on separate worksheets.
    • PDF:  Exports the report in PDF format.
    • CSV:  Exports the report in a comma-delimited text format.
  • Edit: This feature allows a user to edit the report and report filters.
    • Quick Edit:  Allows a user to modify the report filters but cannot edit the design of the report.  Filter changes are not saved when leaving the report viewer.
    • Design: This allows a user to modify the design of the report.
    • Copy:  Allows a user to copy the report under a new report title.
  • Update Result: This button updates the content of the report body based on the filter values.
  • Save As: This button allows the user to save the report under a new title.  Only a Pro licensed user will see this button.
  • Cancel: This button cancels any changes made, such as filter values.  In the case of filters, this button will clear reset filters back to their default state.
  • Close: This button closes the report and directs the user back to the InSight menu.
  • Preview Records:  This feature controls how many total records display in view mode. The options range from 1 to 10,000 or Show All. For most reports, the default setting is 100 to help display the report faster. This setting also affects the number of rows in a report when printed and also when scheduled. In user-built reports, set this value to the highest expected number of records based on common filters.
  • Trash Can: This button deletes the report.  There is no recovery option for a report that has been deleted.  Only the Report Owner will see this button.
  • Freeze: For a report with filters, optionally click the Freeze button to keep the Filters section fixed while scrolling the report body.
  • Page Navigation: Traditional style page navigation buttons displayed at the bottom of the report body.
