Transactions

Prints list of General Ledger transactions.

  • Searching Dates: The field "Which Date" determines which dates are used for the search filter. If not chosen, the Transaction Date is used.
  • Time Cutoff: If a time is selected and a Search Date End range is entered, the results will filter for records less than or equal to the Date and Time. In no Time Cutoff is selected, the Search Date End range will filter based on date only regardless of time.
  • Omit RegFees: If Yes, the report will not include the special Registration Fees as noted in the Support Center > Knowledgebase > Web Registration > Web Registration Settings.
  • Credit Card fields will not display if set to be hidden in the Branch Profile.
  • Group By:  Group by options use fields from Payment transactions to obtain the group by values.  For example, Group By = Company/Payer uses the Company field from the Payer tab of the payment record.
  • Companies/Clients:  When selected, will include only clients or only companies.  When not selected, all records are included in the search.
  • Gateway Proc Only: If Yes, only transaction records that were processed via the Payment Gateway will display. Note that this field was added 11/22/2010 so only transactions from this date forward will be tagged accurately when gateway processed.
  • Admin or WebReg: If selected, report only displays transactions matching the source selected.
  • Calculate Refunds:  Select the manor in which refund transactions are handled in the report.
    • Negative: Amounts will display as a negative number and calculate as a negative number .
    • Positive: Amounts will display as a positive number and calculate as a positive number .
    • Zero: Amounts will display as a zero and calculate as a zero.
  • RGWAU: This column displays shortcut values to identify the following.
    • R = Refund
    • G = Payment Gateway Processed
    • W = WebReg module transaction
    • A = Admin module transaction
    • U = Uncollected funds

Transactions Log (Deleted Transactions)

Prints list of transactions from the Deleted Transactions Log.

  • Users only have access to view the report but do not have access to modify these records.
  • Deleted payment transactions cannot be recovered once deleted.  The Deleted Transactions Log report provide enough information to manually re-enter the deleted payment records.
  • Old Invoice Number Search:  For customer sites that experienced the conversion from Course Method to Invoice Method, this field will search deleted Bill transactions based on the prior manually created invoice number.  The conversion assigned new invoice numbers to the new invoices created.  However, the prior invoice numbers can be searched for historical reference.
