Proposed Courses

This guide explains how to create, track, and manage proposed courses in XenDirect. Proposed courses are drafts that allow users to plan and describe new courses before they are made active. The guide covers the process of submitting, tracking the status, and moving a proposed course to the active course table once approved.

Overview

Proposed Courses allow users to create draft courses and descriptions without immediately adding them to the active course table. The Status field tracks the process of a proposed course, from submitted to copied.

  • Admin and QuickTools Modules: Proposed courses can be added both through the Admin module and QuickTools. To submit a proposed course through QuickTools, the Course Proposal feature must be enabled for the user.
  • Course Proposal Fields: Most fields in the Course Proposal record are used to aid in the decision-making process for offering the course.

Step-by-Step Instructions

To Add a Proposed Course:

  1. Go to Main Menu → Courses → Proposed.
  2. Click New Proposed Course to create a draft course.
  3. Fill out the course details including Title, Description, Category, and Format.
  4. Click Save to save the proposed course.

To Submit a Proposed Course via QuickTools (if enabled):

  1. Go to QuickTools (ensure Course Proposal feature is enabled).
  2. Submit the proposed course following the same steps as in the Admin module.
  3. Click Save to submit the proposal.

Managing the Status of a Proposed Course

  • Status Field: The Status field tracks the progress of the proposed course.
    • Submitted: Initial status of the proposed course.
    • Accepted: When a decision is made to offer the course, change the Status to Accepted.
    • Copied: After copying the proposed course to the active course table, the Status automatically changes to Copied.

To Copy a Proposed Course to the Active Course Table:

  1. Change the Status of the proposed course to Accepted.
  2. Once accepted, the Copy to Course button will appear.
  3. Click Copy to Course to copy the proposed course into the Course table.
    • A unique Course ID must be entered.
    • The following details will be copied from the proposed course to the new course:
      • Title
      • Description
      • Category
      • Format
  4. Click Save to create the new Course record.
  5. The Status of the proposed course will automatically change to Copied, and the Copy to Course button will disappear.

Key Notes:

  • Course ID: When copying a proposed course, always ensure the Course ID is unique to avoid conflicts.
  • Tracking Status: The Status field is essential for tracking the life cycle of a proposed course.
  • QuickTools Requirements: Ensure the Course Proposal feature is enabled for users submitting proposals via QuickTools.
