The Certificate Download feature allows a client to download and print a certificate from their MyAccount > Registrations section of the Web Registration module. Starting in 2025, certificate downloads will use the InSight reporting system. Prior methods of certificate downloads will be phased out by the end of 2025.
- Use of this feature requires a one-time charge for Xenegrade to design, build, and setup the custom certificate. Costs vary based on features requested.
- The certificate download automatically becomes available for a client to download when certain criteria are met. The criteria can be customized per certificate template.
- Certificate content is based on Client Assignment records.
- Customer will need to supply a sample layout, digital files (logos, signatures), and branding specifications (fonts, sizes, colors, etc.).
- Contact Xenegrade for pricing or if certificates are to be based based on other data other than Client Assignments. Discounts may apply for multiple certificates with similar content and layout.
Custom Certificate Design
A custom certificate design can include these elements:
- Course title
- Client first / last name
- Course hours
- Credits earned
- Grade
- Certificate date (print date, course start date, or course end date)
- Standard line border or no border
- 3-4 lines custom text (i.e. "has satisfactorily completed"")
- 1-2 signatory names and titles (static)
- 1-2 logos (static)
- Printable from InSight
- Up to 3 edits during original build to fine tune format and layout of content.
- Use of customer's branded colors.
These are optional features that could be designed into the custom certificate:
- Variable signatory names and titles (dynamic)
- Digital signatures (up to 2 - static)
- Digital signatures (up to 2 - dynamic)
- Custom border (static)
- Custom watermark (static)

- Each Course Sections can be linked to a different certificate report.
- One set of custom completion rules (grade, end date, hours, client block, and/or status.)
* Static: The same value every time the report runs regardless of the data.
* Dynamic: The value can vary every time the report runs based on data.
These are the options for completion rules. One or more can be used per template.
- Grade (i.e. A, A+, B etc.)
- Date (Section end, Section start, or date report is run)
- Hours of the Section
- Status
- No active Client Blocks
Enabling the Certificate Download
Once Xenegrade has built and setup the certificate download process, follow these steps to enable the WebReg certificate download. It is suggested to perform these steps for a test course and client before enabling the certificate for all clients.
- Step 1: Go to the Course Section that will earn the certificate. Edit the WebReg Settings panel. Locate the [Custom Certificate] field and select the certificate name from the list. Save the record. If you have more than one certificate, a course section can only be linked to one certificate template.

Step 2: Go to Admin menu > Settings > System Settings. Use the keyword search field to locate the certificate report record based on the title of the certificate. It is best to search a single word you know is in the title of the certificate report. Edit the settings record and change the [Enable] field = Yes. Save the record.
- If you have more than one custom certificate, you will eventually need to do this for each certificate report. However, this step only needs to be performed one time per template.
- If the need to disable the certificate report arises, you can set the [Enable] field = No to prevent clients from the ability to download the certificate report.
- Do not change any other values in the System Setting record. Any other changes could disable the report or alter the automated completion rules.
- Step 3: For a test client, make setting changes that match the completion rules. You can now log into WebReg as that test client. Navigate to the MyAQccount > Registrations section. The [Download Certificate] link should display. Click the link.
Once testing is confirmed, repeat Step 1 for all course sections where a certificate download should be allowed. If that number of records is very large, contact Xenegrade to see if a bulk update process could be used to link many sections to one certificate.
Step 2 does not need to be repeated.
For Step 3, this process should be integrated into your daily process of updating Client data. Depending on your completion rules, once the matching set of values are completed, the client's ability to download the certificate is automatically enabled.
