Submitting a Custom Request

A detailed project schedule will be prepared and submitted in accordance with the deliverables. The project schedule will indicate the responsibility of the client and the developer.

1. DISCOVERY

This stage is where we begin the road map and document the requirements desired by the customer. This is completed by analyzing information gained from the customer in the form of documents, existing systems, process specifications, and if required, analysis interviews with end users.

  • Customer submits a custom request in the form of an MS Word document detailing the custom request. The document should include:
    • Description of the feature with as much detail as possible including how the feature will be used and for what purpose.
    • Sample documents if the feature is a custom report or form.
    • Provide descriptions of all fields including definitions, data source, data type, and any other information relevant to understanding the feature.
    • If the feature contains a process, describe the process and any related triggers and automation expected.
  • Xenegrade will review the submission and request clarification if necessary.

2. ANALYSIS/DESIGN

In this stage, a detailed analysis is carried out by Xenegrade from the submission and a Scope of Services (SOS) document is prepared.

  • Xenegrade will outline the design of the feature and prepare a Scope of Services document with software requirement specifications.
  • The customer will review the SOS and submit any requested changes and clarifications.
  • Xenegrade will modify the SOS, if necessary, and submit it for final approval.
  • The customer will approve and sign the SOS and submit a purchase order to cover the cost listed in the SOS. Any changes to the SOS after this point must be in writing and may incur additional costs. Xenegrade is not responsible for information not provided or detailed by the customer that affects the outcome of the project.
  • Xenegrade will schedule the project for programming based on the workload at the time of the request and any priority considerations. It is common that custom programming is scheduled 2-6 months after approval.

3. DEVELOPMENT

In this stage, the actual code based on the design is created and tested against design requirements and test cases.

  1. Xenegrade will develop code per the SOS.
  2. Xenegrade will test the feature per the SOS.
  3. If necessary, Xenegrade will provide the customer with a test location to review the feature before live integration.

4. INTEGRATION

In this stage, the feature is deployed to a live customer site for review and acceptance.

  1. The feature is integrated into the customer's application.
  2. The customer tests and reviews the system and verifies feature functionality.
  3. The customer provides feedback and reports items for correction in writing.
  4. Xenegrade programs corrections and modifications as necessary within the SOS.
  5. Customer submits acceptance of the feature in writing.

5. WARRANTY PERIOD
In this stage, the period of the warranty begins. The customer has 60 days to report in writing any additional items for correction from the original work scheduled and completed under the scope of services. After the warranty period, any corrections would be considered as new work and would be billable accordingly.
