Permissions

Permission Groups is the location where records for user permissions within XenDirect are created and managed.

  • Permissions are system-wide and not per Branch in a multi-Branch system. Once set, a user has the same permission in every Branch the user has access to.
  • Permissions for the Xenegrade menu that falls at the end of each menu is always on and cannot be disabled.
  • For security reasons, Xenegrade Support Staff are usually not allowed to change permissions for customer sites except in special circumstances.
  • Permission settings in Release 3 and Release 2 are set per Permission Group. As of 6/24/19, Release 2 no longer includes permission settings per user.
    • If Permission Groups are modified in Release 3, the user permissions must be fixed in Release 2. Do this using the [Fix User Permissions] function accessible from the system user results list GoTo list.
    • As of 1/19/2021, when a user logs into the Release 2 Admin module, user permissions will automatically be updated to account for any differences between the user permissions and the group permissions.

To Add a New Permission Group - Release 3

There are two methods to create a new Permission Group. The easiest method is to clone an existing group and edit the new group as desired. The other is to start with a new Permission Group and set all permissions from a blank template.

  • Clone Method
    • Locate an existing Permission Group.
    • Click the [Clone] button in the Go-To options in the same row.
    • Enter a new and unique Permission Group name.
    • Click [Clone] to close and save.
    • Click the [Edit] button for the new group.
    • Edit Page and InSight permissions as desired.
    • Click [Save] to save the changes.
  • New Method
    • Click the [New Permissions Group] button above the Results List.
    • Enter a new and unique Permission Group name.
    • Complete other fields as desired.
    • Click [Create] to save.
    • Edit Page and InSight permissions as desired.
    • Click [Save] to save the changes.
  • Reassign Users to the new Permission Group as desired.



To Add a New Permission Group - Release 2

To create a new Permission Group in Release 2, you will clone an existing group and edit the new group as desired.

  • Locate the existing Permission Group.
  • Click the [Clone] icon in the row for the Permission Group to be copied.
  • Enter a new and unique Permission Group name.
  • Click [OK] to close and save.
  • Click the [View] icon in the new group and edit permissions as desired.
  • When completed, users in that Permission Group will have the new permission settings.
  • Reassign Users to the new Permission Group as desired.

To Bulk Modify Permissions for Groups and Users (Release 2)

This method will update (enable or disable) one or all permission status values for one menu and one permission group and, if desired, all the related users.  There is no undo process after using this function. Use any of the methods above to modify permissions on a more detailed basis.

  • Click the [UpdateAll] function in the blue toolbar.
  • Select the Menu to update.
  • Select the Permission Group to update.
  • Select the Permission Function to update.  Select All or one of the four functions.  Note that some areas such as reports, Add, Update, and Delete settings have no related functions regardless of the setting.
  • Select the Permission Status to update (enable or disable).
  • Select to update all users in the matching Permission Group. If [No], only the Permission Group is updated.
  • Click the [Submit] button to process or the [Cancel] button to quit.

Field Details 

  • Group Name:  Required field.  Allows up to 20 alpha/numeric characters.  Refrain from using spaces and any special characters.
  • Allow Overenrollment:  If checked Yes, any user in this group is allowed to enroll more than the maximum enrollment of a course section.
  • Restrict Past Registrations:  If checked Yes, any user in this group is restricted to modify past registrations based on the Session dates for the matching Session.
  • Restrict Grades:  If checked Yes, any user in this group can is restricted to modify grades based on the Session dates for the matching Session.
  • Restrict Fields:  If checked Yes, any user in this Permission Group will not have the ability to edit the Payment Amount field in a Client Payment record.  This Payment Amount field becomes a view only field once the payment record is saved.
